Opportunity:
We are seeking a proactive and strategic Clinical Operations Associate to drive the pre-onboarding and onboarding process for clinicians, manage third-party referral platform profiles (such as Psychology Today, Zencare, and Zocdoc), and conduct ongoing analysis to maximize the effectiveness of these platforms. In this key role, you will play a pivotal part in ensuring our clinicians can focus on delivering exceptional care by streamlining operations and enhancing platform performance. We’re looking for someone who is an excellent communicator, skilled at juggling multiple projects, and adept at identifying opportunities to optimize our current systems and workflows.
Responsibilities:
Oversee seamless clinician onboarding, manage third-party platforms with precision, and provide guidance on clinician requests
Clearly communicate pre-onboarding and onboarding expectations to new clinicians, ensuring a smooth transition into their roles
Coordinate pre-onboarding logistics, including scheduling photoshoots and video sessions and assisting with content creation for referral platforms
Oversee the onboarding process, including completion of state supervision forms, ensuring clinicians are featured on the website, and providing training on calendar systems
Manage the setup of referral platform profiles for new clinicians, while facilitating updates and improvements for existing clinicians
Maintain and organize Monday.com boards to efficiently track the onboarding and offboarding processes
Conduct monthly data analysis of referral platforms to assess and report on their performance and effectiveness
Manage the clinical inbox, triaging questions and concerns to the appropriate departments for swift resolution
Collaborate across departments to streamline and optimize the client intake process from referral platforms
Requirements:
Expert in Google Calendar (will need to train and be able to answer questions)
Proficient in Google Workspace (e.g., Google Documents/Sheets/Slides, etc.)
Proven track record of effective communication with various populations/stakeholders
Proven experience successfully leading therapists or other specialized professionals in private or group practice settings
Qualifications:
Comfortable working at a fast-paced, early-stage startup with an aggressive growth strategy to scale the company
Ability to work independently and as part of a team in a remote working environment
Ability to prioritize corporate objectives while balancing the needs of various stakeholders in the organization
Strong leadership skills, interpersonal and communication skills, and ability to work effectively with a range of diverse groups
Ability to handle confidential and sensitive information mindfully and effectively
Excellent organizational and time management skills
Ability to alter between detail-oriented and big-picture thinking depending on the task
Ability to gather and analyze statistical data and generate reports to inform decision-making and problem-solving
Ability to learn and adapt to new technologies quickly and easily
Desire to visualize, craft, and execute new processes for maximum efficiency
Strong writing and editorial skills
