An Administrative Executive Assistant provides high-level administrative support to executives and senior management. This role requires strong organizational skills, discretion, and the ability to manage complex schedules, communications, and confidential information while ensuring smooth day-to-day operations.
Key Responsibilities
- Manage executive calendars, appointments, and meeting schedules
- Coordinate travel arrangements, including flights, accommodations, and itineraries
- Prepare reports, presentations, and correspondence on behalf of executives
- Screen and prioritize emails, calls, and other communications
- Organize and attend meetings; take minutes and follow up on action items
- Handle confidential and sensitive information with discretion
- Liaise with internal teams, clients, and external partners
- Assist with project management and track deadlines
- Coordinate events, conferences, and executive functions
- Maintain organized records, files, and documentation
Required Skills and Qualifications
- High school diploma or equivalent (Bachelor’s degree preferred)
- Proven experience as an Executive Assistant or senior administrative role
- Advanced proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time-management skills
- Strong written and verbal communication abilities
- High level of professionalism and discretion
- Ability to multitask and prioritize in a fast-paced environment
- Strong problem-solving and decision-making skills
Preferred Skills
- Experience supporting C-level executives (CEO, CFO, COO, etc.)
- Familiarity with project management tools (e.g., Asana, Trello)
- Event planning and coordination experience
- Knowledge of business operations and corporate structure
- Ability to work independently with minimal supervision
