SUMMARY: Responsible for providing administrative and clerical support to the client services team.
REPRESENTATIVE DUTIES: (Employee may perform any combination of the essential functions shown below. - Assume reservation from point of booking until Stay has reached pending status
- Sending/receiving all Guest Lease Agreements
- Support with sending/receiving property specific background checks
- Obtaining guest vehicle information (as applicable)
- Obtaining pet information including vaccination records and photos of pet (as applicable)
- Communications to Inventory when to proceed with securing the lease for both Core and Supply Chain Inventory
- Adding all action items applicable to reservation
- Adding Stay Audit Notes upon completion of lease signing
- Moving Stays to Pending Status prompting Coordinator Team for Arrival Confirmations
- Administrative Support with Group Moves (sending welcome letters, updating shared spreadsheets, etc.)
- Support with move in/move out dates in various client portals (Epic, ReloQuest, etc.)
- As needed - Support with booking non-revenue generating Stays (BOGs, Associate Stays, Rotational Stays, etc.)
- Updating Notice to Vacates in CodeOne (as applicable)
- Other duties as assigned
JOB REQUIREMENTS:
- Requires strong verbal skills to obtain positive results through people persuasion.
- Adaptable and must be able to react quickly to change.
- Requires a fast response time to inquiries as well as follow-up.
- Ability to achieve results and meet deadlines that are set by the company itself.
- Multi-tasking and organization is required.
- Ability to work seamlessly in a team-oriented environment as well as individually.
- Some college business courses preferred.
- Basic computer knowledge, including MS Word and Excel is required.
