Job Title: Executive Assistant
Job Summary:
We are seeking a reliable and highly organized Executive Assistant to provide comprehensive support to our executive team. This position requires a self-starter who can handle a wide range of administrative tasks, prioritize effectively, and manage multiple projects simultaneously. The ideal candidate will have a strong work ethic, exceptional communication skills, and the ability to maintain a high level of professionalism while assisting senior leadership.
Key Responsibilities:
- Executive Support:
- Provide administrative support to executives, including managing their calendars, scheduling meetings, and organizing appointments.
- Prepare and organize materials for meetings, including agendas, presentations, and reports.
- Handle day-to-day tasks such as managing correspondence (emails, phone calls), drafting letters, and responding to inquiries.
- Screen and prioritize incoming communications to ensure that urgent matters are addressed promptly.
- Calendar and Schedule Management:
- Manage and maintain the executive's calendar, scheduling appointments, meetings, and travel arrangements.
- Ensure that executives are prepared for meetings and events by providing all necessary documents and information in advance.
- Coordinate meetings and conference calls, including setting up virtual meetings or ensuring in-person meetings are well-organized and timely.
- Travel Arrangements:
- Organize travel for executives, including booking flights, hotels, transportation, and creating detailed travel itineraries.
- Ensure that travel arrangements are aligned with executives' schedules and preferences, ensuring efficiency and cost-effectiveness.
- Document Management and Record Keeping:
- Maintain accurate and organized records, including filing documents, maintaining databases, and handling sensitive information with discretion.
- Prepare and proofread correspondence, presentations, and reports, ensuring clarity, accuracy, and professionalism.
- Meeting Coordination:
- Schedule, coordinate, and attend meetings on behalf of executives, taking minutes when needed.
- Ensure meeting logistics are in place (room reservations, audio/visual equipment, catering, etc.).
- Follow up on action items from meetings and track progress on important projects.
- Communication and Liaison:
- Serve as the primary point of contact between executives and internal or external stakeholders, ensuring clear and timely communication.
- Liaise with other departments, clients, and vendors to ensure that all necessary information is communicated effectively.
- Handle confidential information and maintain a high level of discretion at all times.
- Task Management:
- Assist with various ad-hoc projects and administrative tasks, providing support to other team members when needed.
- Prioritize tasks and ensure that the executive’s daily operations run smoothly and efficiently.
- Office Organization and Supplies:
- Manage office supplies, maintain inventory, and order materials as needed to support the executives' work environment.
- Ensure that the office space is organized and that the executives’ workstations are well-stocked and functional.
Qualifications:
- Education: High school diploma or GED required.
- Experience:
- 1+ years of experience in an administrative or assistant role, preferably supporting senior executives or leadership teams.
- Experience with office software (Microsoft Office Suite, Google Workspace) and familiarity with office management tools is a plus.
- Previous experience managing calendars, scheduling, and travel logistics is beneficial.
- Skills:
- Strong organizational skills with the ability to prioritize tasks and manage multiple projects at once.
- Excellent verbal and written communication skills, with the ability to interact professionally with both internal and external stakeholders.
- High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) or Google Workspace (Docs, Sheets, Calendar).
- Strong attention to detail, accuracy, and confidentiality.
- Ability to work independently and take initiative when needed.
