Exciting opportunity in the Financial District - Administrative Assistant ... Responsibilities:
• Coordinate and manage office meetings, including visitor access, greeting guests, and ensuring a seamless experience.
• Act as the primary notary, preparing and coordinating signatures for various documents such as bank applications, investment subscriptions, and legal documents.
• Manage and maintain conference room spaces, including meeting setup, catering, IT setup, and video conference initiation.
• Serve as an onsite point of contact for meeting participants, occasionally working before or after business hours.
• Act as a backup to other administrative team members, including Executive Assistants, when needed.
• Handle various professional sport ticket activities, including payments, transfers, renewals, allocations, and account reconciliations.
• Assist in managing, tracking, and saving monthly bank and financial statements.
• Perform calendar management, coordinate and schedule meetings, calls, etc., with multiple internal and external participants.
• Assist with travel research for domestic and international arrangements, both business and personal.
• Proactively identify key priorities, deadlines, and deliverables.
Requirements:
• Minimum of 3 years' experience in an administrative role.
• Bachelor’s Degree.
• Exceptional communication and interpersonal skills.
• Highly organized with extraordinary attention to detail, able to prioritize in a fast-paced environment.
• Ability to maintain confidentiality and discretion, particularly when handling sensitive information.
• Reliable, adaptable, and able to learn quickly.
• Proactive and resourceful problem-solver.
• High level of competence with Microsoft Office, especially Outlook, Excel, Word, and PowerPoint.
• Notary certification strongly preferred
• Flexible schedule for in-office days
