The Project Manager — Events supports the Director of Events in planning, building, organizing, and executing PIMcon and other world-class live events and experiences for Rankings.io. This role is responsible for managing project timelines, workflows, operational tasks, and cross-department alignment to ensure our events are delivered at the highest possible standard. The ideal candidate is hyper-organized, proactive, detail-obsessed, and thrives in a culture of excellence. The ideal candidate would have expert level proficiency in ClickUp as well as event management software (Accel, Cvent, Whoa, etc), as this role maintains the operational backbone of our events through project plans, automation, task structure, and system organization.
ResponsibilitiesProject & Workflow Management
- Translate strategic direction from the Director of Events into detailed ClickUp project plans, tasks, dependencies, and timelines.
- Maintain ownership of all project documentation, dashboards, and recurring workflows.
- Ensure all team members are aligned on deliverables, deadlines, and expectations.
- Monitor progress, identify bottlenecks, and surface issues promptly.
Cross-Department Coordination
- Serve as the central operational connector between Leadership, Sales, Marketing, Operations, and Finance.
- Manage action-item tracking for all event-related meetings.
- Provide frequent, concise updates to the Director of Events.
Event Logistics & Production Support
- Assist in managing venue communication, vendor coordination, and logistical planning.
- Support the Director of Events in communicating staffing assignments and plans for events.
- Manage inventory, shipping, supplies, branded materials, and event asset tracking.
- Execute tasks related to registration systems, attendee communication, event app, and customer experience.
- Assist in planning and executing PIM and other Rankings.io “City Edition” events.
Vendor & Budget Coordination
- Support Rankings.io team in vendor research, quote collection, contract coordination, and pre-event logistical conversations.
- Oversee Vendor deliverables.
- Track expenses, invoices, and budget updates inside ClickUp and shared financial tools.
- Maintain records of vendor performance and documentation for future events.
On-Site Execution
- Support the Director of Events during event week by owning specific operational zones (registration, dinners, backstage, speakers, etc.).
- Help coordinate vendor teams, troubleshoot issues, and ensure an elite-level attendee experience.
- Demonstrate steady, reliable leadership during high-intensity periods of event execution.
Post-Event Follow-Up
- Assist in gathering and archiving KPIs, survey results, feedback, and reporting.
- Work with the Director of Events to update SOPs, workflows, and ClickUp templates based on learnings.
- Organize and archive event content, photos, videos, and documentation.
- 5+ years of experience in event coordination, event project management, or a similar role.
- Expert-level proficiency in ClickUp, including building complex task structures, custom fields, dashboards, automations, and workload management.
- Strong organizational, communication, and problem-solving skills.
- Ability to thrive in a remote-first, fast-paced, high-accountability environment.
- Experience working cross-departmentally or in a high-structure agency or operations environment.
- Flexible availability and willingness to travel.
Preferred Qualifications
- Experience supporting senior event leaders or managing large-scale conference operations.
- Background in corporate events, trade shows, or experiential marketing.
- Experience with event platforms (Accel, Cvent, Eventbrite, Whova, or similar).
- Familiarity with brand standards, creative workflows, or content production.
- Experience using Hubspot
