We are currently seeking a full-time Administrative Facilities Partner II, to join our Business Operations team and work in a hybrid setting for our Chicago, IL office. This position is part of a team of administrative professionals that provide general support to the entire company with various administrative tasks, act as the single point of contact for facility support and partners with the property manager to ensure the building is maintained. Administrative Associates are well organized, detail oriented, flexible and are able to adjust to changing circumstances with patience and professionalism.
Daily responsibilities include but are not limited to:
- Answer main office phone and route calls and messages to appropriate recipients
- Maintain general order of the office by:
- Ensuring common areas, including kitchens, are neat and organized
- Making certain that office equipment is in working order and, communicate with office staff of need for repair
- Ensuring all common space calendars are up to date and notify team of conflicts
- Ordering office supplies and snack
- Collaborate with Administrative Professionals Team to support company events
- Update budget tracker with all expenses related to snack, meal, ergonomic and office supply purchases in a timely manner
- Act as the liaison with maintenance professionals and vendors (e.g. UPS, Costco, Amazon)
- Emergency preparedness coordination including; supporting an emergency response, communicating with first responders, and staff notifications
- Travel coordination for individuals and group travel while adhering to Energy Solutions policy guidelines
- Other duties as assigned
Minimum qualifications:
- High school degree or equivalent
- A minimum of 2 years of administrative experience
- Intermediate proficiency in the MS Office suite including Outlook, Word, Excel and PowerPoint
- Experience with communication tools including Zoom, MS Teams and Slack
- Significant travel coordination experience
- Ability to work both independently and collaboratively while juggling competing priorities
- Demonstrates initiative, flexibility, accountability, and ownership of assigned tasks
- Exceptional time management, organizational, and multi-tasking skills with strong attention to detail
- Based within commutable distance to Energy Solutions’ Chicago Illinois office
- Able to work from of our Chicago, IL office, a minimum of three days a week
- A skills assessment will be required as part of the interview process (Microsoft office: word, excel and power point)
Compensation to commensurate with experience with the pay band of $25 - $30 / Hourly
Compensation is commensurate with experience and includes a generous retirement package. Energy Solutions provides an excellent benefits package including medical, dental and vision insurance, other pre-tax contribution plans and an Employee Stock Ownership Plan (ESOP).
