Position Overview:
Our receptionist plays a crucial role in providing the first point of contact for parents, children, visitors and employees within our agency. The hours for this position will be from 7:00am-1:00pm Monday-Friday. We are located in Libbey Parkway in Weymouth.
As a receptionist, you will be responsible for managing the pick-up of our students, greeting visitors, handling phone calls, and providing general administrative support to ensure the smooth operation of the front office.
Key Responsibilities:
• Warmly welcome and assist visitors, parents, children, and employees.
• Verify the identification of parents collecting children and cross-reference it with existing records to ensure that only approved guardians are entrusted with the care of the children.
• Notify staff/teachers that guardians have arrived to pick-up children.
• Direct visitors to the appropriate person or department.
• Monitor and control access to the premises.
• Follow security procedures and report any suspicious activities.
• Ensure a positive and professional first impression of the agency.
• Answer and direct calls to appropriate staff, and/or take and relay messages accurately.
• Provide information to callers and assist with inquiries.
• Manage the sign-in and sign-out process for visitors.
• Handle incoming and outgoing mail and packages.
• Assist with various administrative tasks, such as ordering supplies, photocopying, filing, and data entry.
• Maintain a clean and organized reception area.
Qualifications:
• Proficient use of our security system, including running software background checks on people entering the building, and unlocking doors for approved visitors.
Proficient use of office equipment such as telephones, printers, and computers.
• Basic knowledge of relevant software applications (MS Office, ID Screening Software).
• Able to address and resolve issues or inquiries courteously and promptly.
• High school diploma or equivalent.
• Strong communication and interpersonal skills.
• Excellent organizational skills and multitasking abilities
