DEFINITION ... Perform a broad range of administrative tasks for a Department Director or other senior staff member, by exercising frequent independent judgment within agreed-upon limits. The incumbent will also be performing front desk reception duties in the afternoons and as needed to fill-in. This position must work well independently and with the public, while providing excellent, respectful quality customer service and human relations skills, which support the City of Brighton's mission and values.
SUPERVISION RECEIVED AND EXERCISED
Receives general supervision from the Director of IT.
EXAMPLES OF ESSENTIAL RESPONSIBILITIES AND DUTIES
Responsibilities and duties may include, but are not limited to, the following:
• Acts as front desk receptionist for the afternoon shift and serves as backup for other shifts as needed.
• Participates in the construction of the department budget and budget formulation process.
• Acts as a buffer for Department Director by coordinating communications and projects between other departments, elected officials, the public, and vendors.
• Relieves the Department Director or other senior staff members of minor administrative details by preparing comprehensive reports; helping to compile and prepare the annual budget; monitoring approved budget accounts, recommending improvement in workflow, procedures, and use of equipment and forms.
• Prepare purchase orders, requisitions, and other procurement documents as well as timely software and licensing renewals.
• Manages payment/reconciliation of Department bills and invoices in a timely manner as directed by the Department Director.
• Exercises frequent independent judgment within agreed-upon limits.
• Responsible for scheduling, set-up and food ordering for regular and special meetings and preparing agendas.
• Maintain office and kitchen supply inventory.
• Sort and distribute incoming mail and packages.
• May represent City at various city functions, including the keeping of minutes.
• Prepares confidential correspondence and maintains classified files.
• Performs other high-level administrative functions, including receiving visitors, scheduling appointments, and making travel arrangements.
• Performs related duties as required.
QUALIFICATIONS
Knowledge of:
• Basic principles and practices of fiscal, statistical, and administrative data collection and report preparation.
• English usage, spelling, grammar and punctuation.
• Modern office procedures, methods, and computer equipment.
• Business letter writing and report preparation.
• Principles and procedures of record keeping.
Ability to:
• Exercise independent judgment and take appropriate action in the absence of supervision.
• Interpret and apply administrative and departmental policies and procedures.
• Manage, organize, and prioritize multiple projects and job tasks.
• Communicate clearly and concisely, both orally and in writing.
• Establish and maintain effective working relationships with other employees, supervisors, officials, and the public.
EXPERIENCE AND TRAINING
Graduation from high school/GED supplemented by specialized administrative training.
Four (4) years of increasingly responsible secretarial experience, while dealing with the public. Experience working in the public sector is desirable.
PHYSICAL REQUIREMENTS
Ability to perform moderate physical work, and to lift and carry up to 25 pounds.
Ability to stand, walk, sit, ride, climb, reach, grasp and perform similar body movements; Possesses hand/eye/foot coordination adequate to operate office equipment including a computer keyboard and, in some positions, operate a vehicle; Ability to talk and hear in person and by telephone; Ability to see and read instructions, journals, charts, and characters on a computer screen.
Special Requirements:
Possession of a valid Colorado Driver License with a good driving record.
Bilingual in English/Spanish preferred.
Ability to complete FEMA ICS 100 and IS 700 training within six (6) months of hire
