Generator Source is currently seeking a highly organized and detail-oriented Office Receptionist / Executive Assistant to join our corporate team in Brighton, Colorado. The ideal candidate will be responsible for providing exceptional administrative support to all departments, includng executive leadership, while efficiently managing office operations.
Responsibilities ... • Serve as the first point of contact for visitors and callers, providing professional and courteous assistance.
• Manage incoming and outgoing communications, including phone calls, emails, and mail correspondence.
• Maintain office supplies inventory, placing orders as needed to ensure adequate stock levels.
• Coordinate travel arrangements for executives, including booking flights, accommodations, and transportation.
• Assist with scheduling and preparing for quarterly board meetings, ensuring all necessary materials are organized and distributed in advance.
• Utilize advanced Microsoft Office skills, particularly in Excel and PowerPoint, to create and edit presentations, reports, and spreadsheets.
• Collaborate with various departments to support special projects and initiatives as assigned.
• Maintain accurate records of vehicle registrations and insurance information, tracking expiration dates and renewals as needed.
• Manage vehicle titles and ownership transfers as required, ensuring proper documentation and procedures are followed.
• Handle sensitive and confidential information with discretion and professionalism.
• Perform general administrative tasks, such as filing, copying, and data entry, with a high level of accuracy and efficiency.
Qualifications:
• Bachelor's degree or equivalent combination of education and experience preferred.
• Proven experience in a similar administrative role, preferably supporting executive-level staff.
• Highly effecient with Outlook email system.
• Proficiency in all Microsoft Office applications, with advanced skills in Excel and PowerPoint.
• Strong organizational and time management abilities, with the capability to prioritize tasks effectively in a fast-paced environment.
• Excellent communication and interpersonal skills, with a professional demeanor.
• Ability to maintain confidentiality and exercise sound judgment in handling sensitive information.
• Highly experienced with travel coordination and board meeting preparation.
• Extremely detail-oriented with a commitment to accuracy and quality in all tasks.
