Job Description
This role connects departments, projects, and critical business information for administrative operations. This role provides complex calendar management, document creation and management, event planning, monthly reporting and various project management. This role works closely with the Operations Administrator & EAII and other leadership to support comprehensive action plans concerning resources and timeframes for projects. This role serves as a trusted partner to deliver against the priorities of the department and business objectives.
Essential Functions and Work Responsibilities
Leadership Administrative Support – 70%
- Provide primary administrative support to the matrixed leadership.
- Complex calendar management for multiple leaders and team members;
- Collaborates with meeting attendees to coordinate dates and times, reserves meeting space, provides the appropriate equipment/materials and provides hospitality services as needed for meetings;
- Initiates, establishes, and communicates department meetings on behalf of leadership. Prepares meeting agendas, take meeting minutes and follows-up on meeting action items;
- Maintain various records, reports and documents including team rosters and organizational charts;
- Coordinates travel, which may include arranging complex and detailed travel plans, itineraries, and agendas;
- Performs credit card reconciliations, prepares mileage and expenses reports on a bi-weekly basis for approval by management and processing by the Accounting department;
- Redlining documents and formalize final document versions to be reviewed and approved;
- Organizes, prioritizes, and summarizes the content of incoming mail and materials, distributing to appropriate team member(s) while ensuring confidentiality;
- Other related duties, as assigned.
Project Management – 30%
- Defines and documents project scope, objectives and desired outcome;
- Develop and maintain project performance tracking overall progress and achievements of milestones;
- Project budget management;
- Provide project updates to leadership as per demand and requirement;
- Ensure all assigned projects are delivered on-time, within scope and within budget.
Travel
REQUIRED
- Diploma, healthcare management or related field, or equivalent combination of education and experience.
- 4+ years of progress administrative support, project management, and event coordination.
- Ability to exercise discretion related to matters of significance in a variety of situations.
- A strategic thought process, and the ability to maintain a balance among multiple priorities.
- The ability to work independently on projects, from conception to completion,
- Ability to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.
- Has a high degree of personal integrity and strong interpersonal skills.
- Current knowledge and experience with the operation of copiers, fax machines, printers, postage meters, scanners and computers.
- Strong knowledge, experience and intermediate to advanced skill level with Microsoft Office Suite, which includes Microsoft Outlook, Word, Excel, PowerPoint required.
