NIRA Inc., a fast-growing woman-owned small business headquartered in Washington, DC, is seeking Senior Executive Assistants to support the efficient and effective operation of our client's programs. This role will involve the identification and execution of a variety of high-visibility clerical and administrative tasks, including basic financial analyses (e.g., invoice reconciliation) and regular status update briefings. Our ideal candidate is proactive, flexible, and an engaging team leader ready to offer creative solutions to improve project execution and management.
These are full-time, hybrid positions - applicants should expect to spend three (3) days per week at either the customer location or NIRA HQ (both in Washington, DC). In-person days and times may be flexible. Applicants must be willing and eligible to obtain a Public Trust clearance.
Core Duties/Responsibilities of the Role:
Provide high-level administrative support to an assigned program manager or executive: coordinate and schedule/deconflict travel, meetings, and appointments; receive and process correspondence; and answer and transfer phone calls, screening when necessary.
Collect requested data and information from various sources including email and other correspondence, meeting minutes and records, and other documents; prepares/presents summaries of findings as requested
Conduct basic research (web search, interviews, etc.) to assist with projects or inquiries
Prepare agendas and schedules for meetings, conferences, and other assigned events; take and distribute minutes or other notes as requested.
Respond to and resolve administrative inquiries and questions pertaining to program/executive's role
Welcome visitors to customer space(s) and provide directions as necessary
Perform other general clerical and secretarial duties as requested - may include recordkeeping, managing petty cash, maintaining office supplies and coordinating equipment maintenance, and/or handling packages and correspondence.
Required Skills/Abilities:
Detail-oriented, organized, and professional
Exceptional oral and written communication skills; comfortable briefing senior leadership on project/task status, emergent issues, etc.
Extremely proficient with Microsoft Office suite
Basic familiarity with financial tasks such as invoice review and budget tracking
Ability to effectively prioritize and execute tasks independently
Flexible and adaptable in various situations and when interacting with many different personalities
Knowledge of, or ability to quickly acquire familiarity with, the roles and functions of the assigned department or executive, including any specifically applicable policies or legal guidelines
Willingness and eligibility to obtain a Public Trust clearance
Willingness and ability to work in-person in Washington, DC at least three (3) days per week
Education and Experience Requirements:
At least a Bachelor's degree from an accredited institution
At least five (5) years of experience in a related administrative support role
