We are hiring for an Administrative Assistant to join the Channel Sales Organization of Pinterest for a 12 month FTC. As an Administrative Assistant you will support the Managing Director of Channel Sales at Pinterest and play a vital role in supporting and coordinating the functions of our dynamic Channel Sales Org.
What you'll do:
Time Management & Productivity
Complex calendar management: Updating meeting cadences to reflect business priorities, aligning with executives on schedules adhering to time zones, proactively scheduling complex/large meetings, working with external and internal stakeholders regularly
Continuously monitor and optimize schedules to enhance productivity
Communication & Relationship Management
Help to maintain and nurture relationships with key clients, stakeholders, and executives, ensuring timely follow-ups and communication
Help to manage communications, Slack channels, and LinkedIn engagements, responding as needed and flagging urgent matters
Support executive in preparation of team meetings and client meetings, including preparation of meeting content including drafting, proofreading, and preparing communications, documents, and briefing materials for meetings, capture action items and circulate meeting notes
Support executive in preparation for events, including researching event location, logistics management, and preparing event content
Travel Coordination
Plan and manage all travel logistics, including flights, accommodations, and detailed itineraries
Ensure smooth transitions between meetings and travel, and assist with event planning across regions
Manage scheduling meetings for the executive with internal and external partners
Manage reconciliation of expenses for the exec(s) supported
Team & Office Culture
Organize team-building events, all hands, social activities, swag orders, and recognition programs to promote an inspiring and inclusive workplace.
Develop feedback mechanisms to ensure employee voices are heard and celebrated
Support the onboarding process for new hires and create an orientation program focused on the company's inclusive values
Act as on the ground local support & logistics management in collaboration with Workplace/IT teams
Provide in person support for offsites, all hands, or specific working sessions
What we're looking for:
3+ years experience, ideally supporting a VP or Senior Director level executive
Bachelor's degree in a relevant field such as Administration, OR equivalent experience
Proficient in gSuite (gmail, google calendar, google slides, google sheets), Slack, Workday, Expensify
Excellent writing, communication skills and interpersonal skills
Strong organizational and planning skills to execute multitasking in a fast-paced deadline oriented environment
Problem-solving skills and high attention to detail
Ability to take initiative and ownership over ambiguous tasks situations with little oversight
Ability to move quickly and make confident decisions while being a data-driven and analytical thinker
Hands on experience handling tight deadlines, last-minute changes and ability to pivot quickly
Handle confidential information with integrity

This role will need to be in the office for in-person collaboration at least x2 times a week.
