As the Operations Coordinator, you will play a key role in maintaining seamless operational execution and supporting our customer success team. On a regular basis you will
- Triage and route incoming support tickets, ensuring prompt resolution and adherence to Steno’s service-level agreements (SLAs).
- Manage inboxes to ensure email inquiries are properly routed to the relevant teams.
- Oversee ticket and case management in Zendesk, including managing duplicate records, merging cases, and ensuring data accuracy.
- Perform scheduling tasks such as confirming job bookings and coordinating logistics for upcoming depositions.
- Track and obtain missing case links via DocketAlarm or Unicourt, ensuring proper documentation and order completion.
- Support ongoing Customer Success projects, including keeping current Nuclino records up to date and managing notes from daily Customer Success meetings.
- Ensure client documents are handled with discretion and processed according to security protocols.
- Coordinate across the Customer Success team to gather all necessary information for Ramp and manage location-based expensing.
You’re gonna crush it if:
- You have previous experience in a similar role, with a background in operations, customer success, or legal support.
- You are highly organized and able to juggle multiple tasks and projects at once.
- You have experience with Zendesk, Gmail, or similar platforms for managing client communications and workflows.
- You’re a proactive problem-solver who takes initiative and can “see around corners.”
- You have excellent written and verbal communication skills and can work effectively with teams across different time zones.
- You are familiar with the court reporting industry and have a basic understanding of operational aspects like scheduling, billing, and case management (a plus, but not required).
