We are seeking a detail-oriented and organized Remote Administrator to oversee the time management and productivity of our remote workers. This role involves reviewing time entries, monitoring activity via screenshots, auditing timecards, and ensuring proper job coding. This position will also verify fleet and stipend fuel card usage to ensure accuracy, compliance, and efficiency.
The ideal candidate will have strong attention to detail, excellent organizational skills, and experience working with time-tracking and auditing tools.
Key Responsibilities
- Time Review & Monitoring:
- Review and verify remote workersβ time entries to ensure accurate reporting of work hours.
- Monitor screenshots and activity logs from remote workers to confirm productivity and alignment with assigned tasks.
- Identify and address any discrepancies between time worked and logged activities.
- Audit Timecards:
- Conduct regular audits of timecards to ensure compliance with company policies.
- Investigate and resolve inconsistencies, missing entries, or errors in time tracking.
- Ensure that all timecards are submitted and approved within the set deadlines.
- Fuel Card Usage Audits:
- Review fuel card usage reports and receipts to ensure compliance with company policies and approved budgets.
- Verify that fuel card usage is appropriately linked to company-related activities.
- Identify and report any potential misuse or unauthorized expenses.
- Reporting & Communication:
- Communicate with employees and supervisors regarding any timecard corrections, activity issues, or fuel card concerns.
- Provide support and guidance to employees on time tracking systems, policies, and best practices.
Requirements
- Proven experience in administrative roles, preferably with a focus on remote workforce management or auditing.
- Proficiency with time tracking software and tools (e.g., Hubstaff, Time Doctor, or similar platforms).
- Strong analytical skills with the ability to identify discrepancies and resolve issues effectively.
- Excellent communication skills, both written and verbal.
- High level of integrity, with a focus on accuracy and confidentiality.
- Strong organizational skills and the ability to work independently with minimal supervision.
- Proficiency in Microsoft Office (Excel, Word) and/or Google Workspace.
Preferred Qualifications
- Previous experience working in a remote or hybrid environment.
Work Environment
This is a remote position. The Remote Workforce Administrator is expected to work autonomously and maintain high productivity, with occasional virtual check-ins with the management team.
This position will likely start part-time and will move to full-time with benefits once the workload has been established.
