Our first state ... of the art club is now open in Lakewood Ranch and we are preparing to open our second club in St Lucie West at the beginning of the second quarter of 2024. We are in search of a Catering and Events Manager to join our team!

As the Catering and Events Manager you are responsible for working with the team to ensure the highest level of quality and services are being provided to the members and their guests. You will provide exceptional service to members and their guests ensuring their experience is your top priority. You will oversee and manage all functions related to the F&B sponsored events at The Pickleball Club.
In your role as the Catering & Events Manager, you will answer event inquires and provide event information and event expectations. You will write and execute all contracts and requests for deposits. The Catering & Events Manager will then formulate a Banquet Event Order [BEO] that includes all details of the event, such as date, timing, location, floor plans, persons expected, food selections, pricing, audio/ visual needs, etc. The Catering & Events Manager will also monitor the status of all scheduled payments, attendee final count, and food and beverage selections. You will manage all F&B personnel required for the events.

Responsibilities:
• Maintain exceptional sanitation, cleaning, safety, and uniform standards.
• Uphold TPC core values of TPC.
• Create and developing relationships with our membership is a must! .
• Assist with monitoring the financial performance of the F&B Events for labor, bar purchasing, inventory, and expense control.
• Work with the GM and the F&B Director in developing and modifying the catering menu
• Execute all operational standards correctly, in a timely manner and in accordance with the café standards, safety and health codes.
• Protect company assets by adhering to all processes and working efficiently to control waste.
• Addresses member/guest complaints and offers suggestions to the Manager about appropriate corrective actions.
• Supervise special events for both members and guests
• Be proficient in operating F&B systems including but not limited to POS systems..
• Ensuring all introductions and member communications are responded to in an enthusiastic and timely manner.
• Regularly reviewing upcoming events and having a thorough understanding of all requirements as well as member expectations on scheduled events. Maintaining accurate and comprehensive files with event information.
• Contacting and negotiating agreements with vendors, suppliers, and other relevant parties for event services and supplies.
• Finalizing agreements and ensuring all necessary paperwork and documentation are in order.
• Creating and managing event budgets, including tracking expenses and preparing budgeting reports for each event.
• Collaborating closely with the General Manager and Marketing Specialist to coordinate and promote events effectively.
• Developing event concepts, themes, and marketing strategies in collaboration with the Marketing Specialist.
• Maintaining a calendar of events and ensuring it is updated and accurate.
• Communicating weekly events to the appropriate team members involved, including staff, management, and relevant departments.
• Pre-event planning activities including finalization of event details with the member or sponsored individual including creating floor plans, event space walk through, billing & account maintenance.
• Day of event management and execution. Supervises the setup arrangements, breakdowns, staffing levels and quality of service. Demonstrating clear and open communication with staff at events and addressing any issues or concerns that may arise.
• Coordinating Event Staff schedules and responsibilities.
• Ensuring the event is set-up and service is conducted according to the client’s expectations
• Monitoring event attendance and gathering feedback from attendees for future improvements.
• Conducting post-event evaluations to assess the success of events and identifying areas for improvement.
• Staying up to date with industry trends and best practices in event management.
• Representing the club professionally at industry events, trade shows, and networking opportunities.
• Create Banquet Event Orders (BEO) for all events.
• Responsible for the sales, marketing, and promotion of all member events, functions, and activities, ensuring that all member/guest expectations are exceeded.
• Attend and supervise all F&B events. Supervises the set-up, breakdown, staffing levels, and quality of service while maintaining Food & Beverage financial goals.
• Work with General Manager to determine pricing for club events, banquets, and event contracts/agreements.
• Compiles banquet forecast information and develops banquet and catering budget on an annual basis.
• Facilitates distribution of completed weekly BEO packets.
• Leads weekly BEO meeting.
• Orders linens and centerpieces for club events as needed.
Requirements:
Education and/or Experience:
• Bachelor's degree in event management, hospitality management, or a related field (or relevant experience in lieu of a degree.
• 3-5 years of experience planning and coordinating events in a similar setting
• Excellent proficiency with technology use including POS systems
• Professional certifications in event management (e.g., CMP or CSEP) can be beneficial
• Very detail oriented and clear and concise communicator
• Familiar with creating and negotiating event agreements.
• Proven experience in event planning and management, including various types of events
• Demonstrated ability to manage event logistics, teams, and cross-functional collaboration
• Familiarity with event marketing and promotion, including digital platforms
• Employees are required to be CPR/AED Certified (having completed in person training) or must complete in person training and obtain certification at their own cost within 30 days of employment.
• Must have the ability to pass a background check and drug test.

• CPR Certified or willingness to pay for and become CPR certified in the first 30 days of employment.

Reporting:
The Catering and Events Manager reports to the Pickles Café Manager
Physical Demands and Work Environment:
• The position requires physical activity (i.e., prolonged standing, repetitive bending, lifting, climbing)
• The ability to lift 30 pounds regularly, squat and bend over regularly. Carry out repetitive motions regularly, lift and carry awkward items, stand for length of shift
• Must have a valid form of ID
• Must be able to sit for prolonged periods of time
• Moderate noise level in the work environment
