As part of the responsibilities, you will be tasked with preparing, revising, and finalizing various documents such as correspondence, legal papers, execution materials, and presentations as assigned. Additionally, you will be responsible for conducting conflict checks, initiating new client or matter engagements, configuring billing specifications for clients, inputting attorney time into the system, aiding in billing and client invoicing, managing expense reports, and ensuring attorney compliance with Continuing Legal Education (CLE) requirements.
You will also play a vital role in maintaining both electronic and physical files, utilizing document management systems and technology to enhance organization and efficiency. Moreover, you will be in charge of managing attorney calendars, arranging travel plans and accommodations, coordinating meetings and conference calls, and liaising with numerous internal and external stakeholders. Special projects and additional tasks may also be assigned to you as needed.
We Know You
A college degree is preferred, while a high school diploma or equivalent is mandatory. Candidates with experience in estate planning and administration, as well as processing corporate and LLC filings with Secretaries of States (such as NC, DE, SC, and others), obtaining EINs, and handling other tax filings, are highly desirable. Proficiency in Microsoft Word, Excel, PowerPoint, and DocuSign is required, along with excellent proofreading skills. Effective written and verbal communication skills, especially when interacting with employees, clients, attorneys, and external parties, are essential.
The role also demands strong organizational and document management abilities, along with the capacity to thrive in a fast-paced environment by efficiently organizing and prioritizing multiple time-sensitive tasks on a daily basis. Experience in maintaining confidential information with sound judgment is crucial. Reliability, teamwork, professionalism, multitasking skills, and attention to detail are all key attributes for success in this position.
