In this role, you will:
• Support moderately complex administrative tasks
• Assist in routine payroll processing, record keeping, and reports preparation
• Work closely with both internal and external customers to meet required service needs
• Perform moderately complex administrative, transactional, operational, and customer support tasks
• Receive direction from supervisors regarding routine administrative process
• Provide support in areas of reporting and handling general ledger or expense accounts of a particular business line
• Interact with other Administrative Assistants, internal partners, external customers, and experienced level leaders across the organization
Job Responsibilities:
• Create, own and manage team distribution lists as needed
• Receive and distribute office mail; prepare packages for pickup and delivery
• Answering and directing phone calls, visitors, and other internal team members
• Procurement—business cards, office supplies, etc.
• Liaise with internal business partners including but not limited to IT, SCTS, ON/OFFB team for routine technology requests and needs.
• Support LOB in organizing events such as charity, customer facing, and office events
• Facilitate any needs to address suite/building issues that arise for the organization .
• May be responsible for providing support to the business line staff in the areas of preparing/organizing business documents such as decks, agendas, reports, pitchbooks
• Serve as backup to administrative support team members in and out of assigned region and LOB.
• Point of contact for records retention.
• May act as i9 approver for Wells Fargo staff.
• Manage varying quantities of expense reporting on a monthly basis
• May process requests in Ticket Management System
• May process requests in Global Pre-Clearance System
• May act as proxy for various internal approvals
• Provides support and facilitates larger projects managed by others and may manage less complex projects
• Acts as an information source on group and company policies
• Process charitable contribution sponsorships and invoice requests
• Receive office visitors and secure building access for internal team members and external clients
• May participate in planning/executing a variety of programs, services and initiatives. Examples might include, but are not limited to: process improvement, change management initiatives
• Serves as an extension of senior leadership adapting to a culture of partnership, teamwork, results orientation, and professionalism
Required Qualifications, US:
• 2 years of Administrative Support experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
Desired Qualifications:
• Previous experience in financial services
• Demonstrated proficiency with Domestic and International travel
• Experience with Concur
• Exceptional customer service standards and professionalism
• Strong interpersonal skills and the ability to interact and communicate with C-suite external clients, Senior leadership and other team members
• Ability to articulate clearly and concisely in both written and oral communication
• Strong problem solving skills
• Ability to work independently with minimal supervision
• Strong attention to detail and accuracy skills
• Strong organizational, multi-tasking, and prioritizing skills with proactive mindset
• Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and events
• Ability to work effectively in a team environment where flexibility, collaboration, and adaptability are important
• Ability to manage and process reports; maintaining financial efficiencies and reducing costs
• Ability to adhere to confidentiality practices and guidelines
• Experience with Microsoft Office Suite
• Ability to work in a fast-paced deadline driven environment and respond to requests in a timely manner
• Ability and willingness to collaborate with teammates to ensure appropriate support and coverage
Job Expectations:
• Ability to work outside of regular business hours; willingness to stay late and arrive early
