Position: Catering and Events Coordinator
Key Responsibilities:
• Engage with internal and external clients promptly and professionally via phone, email, and in-person interactions.
• Manage phone calls, emails, and client greetings for Catering and Events courteously and efficiently.
• Input program details into booking systems and coordinate site visits.
• Generate documents such as BEOs, menus, and floor plans for effective communication.
• Ensure exceptional service by understanding and meeting guest needs during events.
• Participate in client site inspections and support the sales process, including site tours and inquiry calls.
• Attend and document management and BEO meetings.
• Maintain office supplies, order as needed, and perform daily office duties.
• Coordinate internal member events and distribute BEO Packets and relevant communications.
• Assist in building accounts, managing contract turnover, and deposit schedules.
• Act as day-of-event support for occasional large-scale social and internal events.
• Keep Reserve Cloud updated with accurate event information.
• Collect and submit payments and deposits for contracted events.
Qualifications:
• 1 to 2 years of general catering, hospitality and/or office experience.
• Proficient in administrative office management, organization, verbal and written communication.
• Familiarity with event management tools such as Reserve Cloud, Canva, All-Seated, Outlook, and Microsoft Office Suite.
• Detailed knowledge of Club layout, rate structure, meeting space, group capacities, and capabilities.
• Flexible schedule, able to work evenings, weekends, and holidays as needed.
• Four-year college degree in a related field (Hospitality, Business, or Marketing) preferred, or two years prior experience in Conference & Catering.
• Working knowledge of service agreements, banquet event orders, hotel/resort operations, and procedures.
• Experience in a high-volume upscale membership club or luxury resort is a plus.
Compensation and Benefits:
• Hourly wage ranging from $23-$30 per hour (based on experience).
