We are seeking a Record Retrieval Specialist to support large and small-scale record retrieval projects in a temporary, fully remote capacity. This role is ideal for individuals who are persistent, detail-driven, and skilled at navigating complex processes to ensure timely and accurate receipt of records.
About the Role
The Record Retrieval Specialist is responsible for obtaining a wide range of records (medical, billing, insurance, employment, and more) by conducting research, preparing compliant requests, and communicating directly with providers and custodians. You will play a key role in resolving roadblocks, following up on outstanding requests, and ensuring clients have access to complete and accurate documentation.
Essential Job Functions
Functional & Technical Responsibilities
- Conduct internet research to identify the correct custodians of records and establish contact by phone
- Generate and send record requests
- Place follow-up calls to providers and custodians to obtain the status of outstanding requests
- Document accurate and timely request status and communications
- Prepare authorizations for record requests in accordance with legal standards and project parameters
Required Qualifications
Education
- High school diploma or GED
Experience
- At least one year of experience in an office setting
- Experience in a forward-facing customer service role
- Experience managing and prioritizing multiple tasks, projects, and deadlines
Knowledge, Skills & Abilities
- Intermediate Microsoft Office skills (Outlook, Excel)
- Ability to interpret legal and medical records
- Strong verbal and written communication skills
- Analytical, detail-oriented, and accurate
- Independent problem-solver with research skills
- Self-motivated with a strong customer service focus
- Able to remain professional under pressure
- Committed to privacy, confidentiality, and security policies
Preferred Qualifications
Education
- Paralegal certification or equivalent legal experience
Knowledge, Skills & Abilities
- Knowledge of medical terminology
- Knowledge of legal terminology
Work from Home & Schedule Requirements
- This is a fully remote position and requires a reliable computer, internet access, and a quiet, private workspace to maintain confidentiality
- Ability to work independently while adhering to privacy and security standards is essential
- Training hours: 8:00 AM – 4:00 PM EST
- Post-training schedule: Shifts will fall within core business hours of 8:00 AM – 5:30 PM EST, based on operational needs
