Position Summary
10 Tanker Air Carrier, LLC is seeking a highly organized and detail-oriented Medical Scheduler to support our healthcare and emergency medical operations. This role plays a key part in coordinating patient appointments, managing communication between providers and patients, and ensuring operational efficiency within our medical scheduling workflow. The ideal candidate is professional, dependable, and comfortable handling sensitive information in a fast-paced environment where accuracy and confidentiality are vital.
Responsibilities
- Schedule, update, and confirm medical appointments, follow-up visits, and related procedures for patients and EMS personnel.
- Coordinate scheduling needs with clinical staff, dispatch teams, and administrative departments to ensure seamless operations.
- Answer inbound calls, respond to messages, and manage appointment requests with excellent customer service.
- Verify patient information, insurance details, and required documentation prior to scheduling appointments.
- Maintain accurate and timely entries within electronic health record (EHR) systems and scheduling platforms.
- Communicate clearly with patients regarding appointment details, preparation requirements, or necessary changes.
- Handle cancellations, rescheduling, and urgent scheduling adjustments in accordance with organizational protocols.
- Collaborate with nurses, medical staff, and administrative personnel to prioritize scheduling based on patient needs and clinical availability.
- Protect patient privacy by adhering to HIPAA regulations and internal confidentiality standards.
- Generate scheduling reports, track appointment volumes, and support workflow forecasting when needed.
- Assist with administrative tasks, documentation updates, and communication workflows as assigned.
Minimum Qualifications
- High school diploma or equivalent required; associate degree in healthcare administration, medical office support, or related field preferred.
- 1–2 years of experience in medical scheduling, patient coordination, medical front office, or a similar healthcare role.
- Working knowledge of medical terminology and clinical scheduling practices.
- Experience using electronic health record (EHR) systems or scheduling software.
- Strong written and verbal communication skills, with the ability to communicate professionally with patients and providers.
- Excellent organizational skills and the ability to handle multiple priorities simultaneously.
- Proficiency with computer systems, Microsoft Office, and digital communication tools.
- Ability to maintain strict confidentiality and follow HIPAA guidelines.
Preferred Qualifications
- Prior experience in emergency medical services, aviation medical support, or high-volume scheduling environments.
- Familiarity with multi-provider scheduling and coordinating complex calendars.
