The Scheduling Coordinator is a vital member to the centralized scheduling department. They are responsible for scheduling new/established patients across multiple therapy offices. This role supports patient access through efficient communication and administrative support, while ensuring a smooth scheduling experience for patients.
Essential Functions
- Manage high volume of inbound calls, faxes, and emails related to new patient referrals, appointments, and follow up needs.
- Accurately schedule new and returning patient appointments across multiple locations using various EMR systems.
- Provide timely and professional customer service.
- Apply basic insurance knowledge to appropriately schedule new leads.
- Use knowledge of PT/OT/ST terminology to ensure appropriate scheduling.
- Support project-based work.
- Collaborate with clinic teams and internal departments to resolve access barriers and maintain scheduling protocols.
- Maintain strict patient confidentiality and ensure compliance with HIPAA regulations.

Required Skills & Abilities
- 1+ years in a medical office, central scheduling, or healthcare call center environment preferred
- Strong multitasking skills and ability to pay attention to detail in a fast-paced setting
- Basic understanding of insurances/insurance types/rehabilitation terminology
- Excellent communication and organization skills
- Bilingual or multilingual skills are a plus
