We’re looking for a Digital Operations Coordinator to help drive projects forward, manage timelines, and support cross-functional teams in delivering top-tier digital work. In this role, you’ll coordinate day-to-day operations across digital campaigns—tracking project milestones, routing creative for approval, managing documentation, and ensuring nothing slips through the cracks. You’ll work closely with Account Execs and Digital Ops leaders, learning the ropes of web development and media production while helping teams stay on time and on budget. If you’re a quick learner with sharp communication skills and a love for logistics, we want to meet you.
Position Responsibilities
- Conduct internal project status meetings with cross-functional internal team.
- Route projects to team members for review and approval.
- Assess actual hours incurred on project versus estimate throughout engagement.
- Work closely with Account Executives and Digital Operations to understand and execute client requests.
- Coordinate interdepartmental project activities to ensure goals and requirements are met.
- Help promote teamwork and collaboration.
- Maintain the project plan with status & deadline updates.
- Manage efficient internal meetings; coordinate effective responses from the team.
- Create and maintain project documentation including estimate and project schedule, with supervision.
- Develop daily project status reports and hot sheets with senior Digital Operations staff oversight.
- Pull burn reports from financial system and distribute to appropriate staff.
- Coordinate all needed assets and create master PDF for routing.
- Enter approved estimates into the financial system.
- Create and maintain Job Tracker for team use.
- Develop an understanding of every aspect of web development and media creative process.
- Escalate issues to supervisor when necessary.
Knowledge, Skills and Abilities
Technical Qualifications -
- 0-2 years of project management experience in an agency environment, BA/BS degree preferred
- Experience with MS Project, Smartsheet, Advantage, Workfront, Proof HQ, and Jira, a plus
- Proficiency with M365 Suite (Excel, PowerPoint, Word, Outlook)
