Job Summary:
Provide leadership, oversight and management for the daily operations of the HIM Specialist for WellStar Health System. Responsiblities include daily distribution of the work load, scheduling, timekeeper, orientation, education and retraining. Assure producitivity and quality standards are met and provides feedback to the staff. Identifies opportunities to improve process and the utilization of the EHR to achieve best practice in accurate and timely medical record documentation. Responsible for timely completion of performance evaluations. Handle employee performance issues and documents the expectations to be met, utilizing the disciplinary process to enforce compliance with policies and procedures. Work closely with HIM Site Management to ensure the remote and onsite staffing is appropriate for coverage of functions.
Core Responsibilities and Essential Functions:
Supervise the people and work performed as it relates to the document management system. * Work with the Manager of Document Management on hiring, training and educating the DMTs * Verify and correct as needed to the timekeeping system. Ensure staff is following the policy on proper time keeping. Track and report variances to the Manager of Document Management. Assist Manager with staff follow up on attendance issues. * Assists the Manager of Document Management to handle performance related issues with compliance to hospital policies and procedures. * Complete performance evaluations and keep proper documentation on employee issues. Complete disciplinary action as required. * Assists with recruiting, selecting, training, evaluating, managing and leading team members. * Supports the system medical record policy to assure accurate and timely availability of medical records, and to assure the integrity of the legal medical record. * Work with other departments and/or ambulatory offices within WellStar as it relates to forms. * Monitor the daily workload of the staff and assign the staff to inpatient or ambulatory work queues as needed to ensure coverage. * Ensure the schedule for staffing is appropriate so that all functions are covered, to include remote and onsite staffing. * Identifies any issues with the ambulatory scanning to include system problems or user training; assists the HIM Manager of Document Management with review, research and resolution. * Utilize the record correction workflow in ImageNow to correct document types, patient names, location and encounter status. * Monitors and reviews the assignments routed to the individual HIM/AMB | Medical Records manager queues (over 75 queues) in ImageNow. Validates that the HIM Specialist assigned the document to the manager queue appropriately. If determined that the document should have been indexed to the EMR, make the correction and then provide feedback to the HIM Specialist. * Updates the origins and user capture profiles in ImageNow to ensure the WellStar Medical Group team members are assigned to the correct location. * Create a trusted work environment for employees through team building, coaching, constructive feedback, work delegation, personal example and goal setting that encourages creativity, open dialogue on work issues, professional growth, and a consistent, high level of performance; encourage and support employee decision-making within his or her scope of responsibilities. Quality and Productivity Reporting * Assists with development and implementation of departmental procedure and service levels related to productivity and quality. * Identifies and creates reporting tools for key performance metrics. Identifies trends and opportunities for performance and process improvement. * Reports the findings to Manager of Document Management on a monthly basis to ensure compliance with the HIM service level agreements and quality of services. Document Management Subject Matter Expert * Maintain the interface error workqueue in the EMR titled INCOMING PERCEPTIVE SCAN ERRORS FOR HIM MGT to ensure that staff is choosing the appropriate encounters and that there isnt a system issue causing the error (i.e. new encounter types added or deleted). * Maintains, monitors and troubleshoots applications that impacts the document management system (i.e. ADT, interfaces, etc.). * Provide guidance to the staff in regards to how to name forms. * Understand how ImageNow interfaces with our EMR system and is able to troubleshoot as issues arise. * Participate in collaborative work groups, identify opportunities for process improvement, and recommend best practice. * Serves as a subject matter expert for document imaging Performs other duties as assigned Complies with all Wellstar Health System policies, standards of work, and code of conduct.
Required Minimum Education:
- High School Diploma General or GED General

Required Minimum Experience:
Minimum 2 years related work experience in a hospital Required or healthcare system. Required
Required Minimum Skills:
Ability to work independently and without direct supervision. Excellent verbal/written communication. Problem solving skills and ability to prioritize and organize work activities appropriately in a fast-paced environment. Analytical skills with ability to use data to identify trends, execute process improvement, and report key performance indictors. Knowledge of Joint Commission standards, state and federal laws and regulations relative to the confidentiality and security of patient information, and medical record documentation requirements. Knowledge of electronic health records and related workflow. Basic computer skills to include Windows, Word, Excel, and e-mail.
