Title: Executive Assistant to the Business and People Operations Manager
Location: 100% Work from home in Luzon, Philippines only
Shift: Flexible late shift - Core working hours from 8:30 PM - 1:30 AM PHT (remaining hours can be completed right before or right after that)
We’re looking for a proactive and detail-oriented Executive Assistant to join our team and support our Business & People Operations Manager. In this role, you’ll help keep things running smoothly behind the scenes, and ensure everything stays organized. A big part of the job is handling sensitive information with care and maintaining confidentiality. We're seeking someone with strong communication skills, a positive attitude, and a friendly, collaborative approach to work.
Your Qualifications
At least 1 year of experience as an Executive Assistant or in a similar role
Exceptional organizational skills with a keen eye for detail
Proficiency in Google Suite and project management tools
Strong written and verbal communication skills in English
Ability to work independently and manage time effectively
Experience with calendar management
Proven experience developing and following SOP’s
Comfortable working with sensitive and confidential information
Comfortable working with and learning new technologies

Demonstrated ability to prioritize tasks and meet deadlines consistently
Experience in managing complex schedules and coordinating meetings
Proficiency in preparing reports and presentations
Ability to anticipate needs and take initiative in solving problems

Your Primary Responsibilities
Manage Business & People Operations Manager’s calendar, including scheduling meetings and appointments
Prepare and edit documents, surveys, reports, announcements and presentations
Plan and coordinate team meetings, take well informed notes during meetings, and execution of post-meeting tasks
Coordinate with internal teams and external partners
Handling correspondence, including emails and phone calls
Assist with personal tasks as needed, such as managing appointments, or coordinating travel
Organize and maintain files and records
Proactively identify and resolve potential issues before they arise

Consistently maintain an up-to-date and well-organized calendar for the Business & People Operations Manager
Demonstrate a track record of completing tasks accurately and on time
Effectively manage and prioritize incoming requests and information
Show initiative in improving processes and suggesting solutions
Completion of online education and training. You will complete 3 hours per quarter of educational training.
