Executive Assistant

Job Description:
The Executive Assistant will provide comprehensive administrative support to our CEO. The role involves managing calendars, tracking agendas, coordinating events, overseeing office administration, and handling shipping and receiving tasks. The ideal candidate will be detail-obsessed, able to multitask and self-directed.
This is a part-time position for 20 hours per week.
Requirements
Manage complex calendars for CEO and other senior leaders as needed, scheduling and coordinating meetings, conferences, and calls with internal and external parties.
Anticipate scheduling conflicts and adjustments to ensure optimal time management.
Prepare meeting agendas and relevant documents for all appointments and events.
Maintain and track executive agendas, ensuring all key meetings, deadlines, and deliverables are met.
Provide reminders and follow up on action items from meetings and projects.
Maintain files, records, and other documents for the executive, ensuring confidentiality and organization.
Assist with presentations, reports, and other important documents as needed.
Coordinate logistics for internal and external events, including company meetings, conferences, webinars, and team-building activities.
Oversee travel arrangements, accommodations, and itineraries for business events.
Ensure events run smoothly and efficiently, managing the setup, equipment, and supplies.
Oversee daily office operations, including office supplies, equipment maintenance, and vendor management.
Support HR with new employee onboarding, including preparing workspace, systems access, and welcome packages.
Maintain a clean, organized, and productive office environment.
Manage incoming and outgoing mail and packages ensuring timely and accurate delivery.
Coordinate logistics for office supplies, equipment, and materials.
Qualifications
3-5 years as an Executive Assistant to the C Suite required
Experience using Microsoft products preferred (Outlook, Excel, Word, PowerPoint)
Ability to use AI tools such as CoPilot or ChatGPT
Detail obsessed
