Essential Functions: In addition to working as prescribed in our Performance Factors specific responsibilities of this role include:
Serve as the primary point of contact between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
Manage and optimize executives’ calendars, coordinating schedules and resolving conflicts.
Proactively anticipate executives’ needs by preparing materials, gathering insights, and ensuring readiness for meetings and events.
Create polished agendas, reports, presentations, and other documentation for internal and external communications.
Take accurate and concise meeting notes or summaries, organizing them for easy reference and future action.
Conduct thorough research to support executive decision-making and streamline workflows.
Foster internal communication by coordinating presentations and distributing critical updates.
Acting as gatekeeper for TruBridge executives
Acting as the point of contact for executives, employees, clients and other external partners
Managing information flow in a timely and accurate manner
Managing executives’ calendars and set up meetings, both internally and externally
Format information for internal and external communication –meeting agendas, memos, emails, presentations, flow charts, reports
Take minutes during meetings and catalog for easy future reference/ or gathering data from meeting stakeholders including a synopsis
Conduct research and prepare reports on various topics for meetings
Facilitate internal communication (e.g. distribute information and schedule presentations)
Minimum Requirements:
Education/Experience/Certification Requirements
Bachelor’s degree or equivalent combination of education and relevant experience
2 to 4 years of experience supporting multiple executives
Strong technical proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and virtual collaboration tools (e.g., Zoom, Teams, Slack).
Exceptional organizational skills, with the ability to multitask, prioritize, and adapt in a dynamic environment.
Professional demeanor with strong written and verbal communication skills.
High level of discretion and confidentiality in handling sensitive information.
Proactive problem-solver who takes initiative and thrives in a remote work environment.
Excellent communication (written and oral) and interpersonal skills.
Strong organizational, multitasking, and time management skills.
Must be detail oriented and able to follow through on issues to resolution.
Must be able to act both independently and as a team member.
Ability to show confidence on the phone with internal and external customers
Familiarity with multiple applications
