About the Graduate School Office of Career and Professional Development
Formed in 2022, the Graduate School Office of Career and Professional Development works with graduate students and postdocs to explore various career options through individual advising, workshops, and experiential learning opportunities and with faculty, graduate field staff, and partner offices to raise awareness of career possibilities. We strive to empower students, strengthen skill development and professional preparation, demystify the job search process, and connect students to opportunities and resources useful to their career interests.
The Opportunity
We are seeking an Administrative Coordinator who will be an integral part of the Office of Career and Professional Development team, supporting various programs and services dedicated to enhancing career success. This position will focus on office administration, travel and event coordination, communications and outreach, and data management for graduate student career support.
Key Responsibilities:
Manage and coordinate student advising appointments and office communications, including scheduling, email monitoring, and directing inquiries.
Support the planning and execution of career development events and workshops, such as alumni panels and employer visits. Contribute to key events for the Graduate School and Cornell Career Services Network.
Assist with engagement activities and logistical support for various programs and opportunities, including office newsletters, student activity funding, and career exploration treks.
Maintain and update data, reports, and online content, including web pages, and databases such as Salesforce and Handshake.
Provide administrative support, including office coverage, and procurement and management of office resources.
This is a full-time (39 hours/week) endowed position that is based in Ithaca, NY. This position follows a 4:1 campus-to-home hybrid work arrangement after a period of orientation and training. This hybrid work arrangement is subject to change at any time. Work hours are 8am-4:30pm Monday through Friday.
What You Need
We are looking for a team member who is adept at problem solving, organization, and technology. Additionally, you will:
Hold an Associate’s Degree and 2 to 4 years of relevant experience or equivalent combination.
Have experience in and/or demonstrated commitment to supporting diversity, equity, access, inclusion, and wellbeing
Be comfortable incorporating the perspectives of multiple communities, including communities of color
Communicate clearly and effectively, verbally and in writing
Have the aptitude to thrive in a fast-paced and collaborative environment
Utilize effective organizational skills to manage processes and deadlines
Have strong attention to detail and skills in problem-solving
Value providing excellent customer service to address the needs of staff, faculty, students, employers, and alumni.
Demonstrate fluency with Microsoft Office (especially Excel, Word, PowerPoint, Outlook, and Teams) and videoconferencing tools (such as Zoom)
Have experience in managing data

Bachelor’s Degree
Strong interest in or experience working with college or university career services or student services
Experience working with graduate and professional degree students and/or postdoctoral scholars
Experience using various student engagement/tracking and career-specific platforms such as Handshake and/or Salesforce.
Experience working with multilingual constituencies and students from diverse cultural backgrounds
Experience planning and implementing complex events and programs
Experience making travel arrangements with university systems such as Concur

Rewards and Benefits
This position is eligible for a hybrid work arrangement. Employees typically perform this role remotely 1 day per week and on-campus 4 days per week. The university reserves the right to modify, suspend, revoke or terminate the hybrid work arrangement at any time.
This position is based in Ithaca, New York. Employees who work remotely may receive multiple W-2 Forms depending on their work location. The New York Convenience of employer guidelines require New York State individual tax reporting and withholding for this position. Additional individual state income tax filings may also be required if working temporarily outside of New York State.
