Legal Administrative Assistant

Enveritas provides sustainability assurance for the coffee and cocoa industries. We visit smallholder coffee and cocoa farms around the world to understand their social, economic, and environmental practices. Each year, we visit more than 100,000 farms across more than 31 countries in Asia, Africa, and Latin America. Enveritas is a mission-driven organization dedicated to supporting communities. We are seeking a dedicated and detail-oriented Legal Administrative Assistant to support our Legal Contract Processing Team with general administrative duties. These include assisting with contract administration, information gathering, data entry, analysis of information, communication with various parties, and other assigned tasks as needed. The ideal candidate should be highly organized, detail-oriented, and possess excellent communication skills. Experience supporting executive teams, working in legal or nonprofit sectors, or having relevant administrative experience is preferred.
Essential Functions
Manage contracts from initial intake through execution
Send documents and agreements for final signature via e-signature platforms
Liaise with stakeholders, including community representatives, service providers, partners, and internal teams to ensure contract processing and execution
Process and save executed files to contract management software
File legal and administrative documents as required
Perform administrative tasks and other duties as needed
Monitor Legal Contract email inbox and adhere to established protocols
Overall Admin Support
This role will also support other members of the Enveritas admin team, with a focus on Finance and HR. Responsibilities for overall admin support include, but are not limited to:
Assist with tax filings
Communicate with service providers and stakeholders in the U.S. by phone as needed
Support with the administration of HR and Finance platforms
Manage and maintain records
Provide support for compliance-related matters

Sound judgment and ability to maintain confidentiality
Qualifications & Experience
Minimum of 3 years’ experience in a contract administration or legal administrative role
Previous experience using contract management software (e.g., Lexion, Ironclad, ContractWorks) and e-signature platforms (e.g., DocuSign, Adobe Sign) preferred
Proficiency in Microsoft Word, Excel, and Outlook
Comfortable with digital file management and organizational systems
Associate or Bachelor’s degree in business administration, paralegal studies, or legal secretary certification preferred
Prior experience in nonprofit or legal service sectors preferred but not required
Required Skills & Competencies
Basic technology skills, including MS Office Suite

Ability to negotiate agreements and collaborate with diverse perspectives
Strong problem-solving and organizational skills
Ability to handle multiple responsibilities in a fast-paced environment
Pay Range: $20 - $30 per hour
