The successful candidate will be responsible for overseeing the daily operations of the office, assisting the Senior Executive Assistant with EA responsibilities as well as managing multiple priorities independently to ensure the smooth day to day operations of the office. This position will require you to work onsite 5 days a week 8am-5pm in our London office.

London Office Management:
- Ensure a welcoming, clean and well-organised office environment by overseeing supplies, equipment, office maintenance and continuous improvement to enhance our workspace for all our game changers
- Take full ownership of office-related tasks such as internal and external meeting room bookings/ management, catering, mail distribution, greeting visitors, managing deliveries and maintaining an efficient front of house
- Be the key point of contact with office landlords ensuring all records, budgets and invoicing records are kept up to date
- Maintaining the office filing system, information and all other office documentation
- Assisting our IT Specialist to order IT equipment for new joiners, on-boarding processes and experience to welcome new game changers into the business
- Ensuring all local game changers have access to the building via the Paxton app and monitoring access
- General support to London office game changers with ad hoc queries
- Proactively identify opportunities to enhance the administrative support activities
Executive Assistant (Supporting the Senior Executive Assistant)
- Processing expenses on behalf of two executives
- Supporting domestic travel arrangements for two executives
- Assisting all London office visitors/ game changers with travel arrangements including hotels, taxis, planning journeys, lunch/ dinner reservations, meeting rooms bookings etc.
- Additional support to the Senior EA with ad hoc delegated tasks (this can include research support for finding venues, travel requirements, visas etc.)
Event Coordination:
- Take full ownership of our various social and awareness events, including PRIDE month, Black History month, International Women's Day, Mental Health Awareness week, monthly socials and encouraging a positive and inclusive company culture
- Collaborate with our Senior Executive Assistant to support our annual Summer and Christmas events
- Create new and fun ways of bringing the office together
- Co-ordinating and supporting external event(s) as required

- 2+ Years of Office Manager Experience
- 2+ Years of Personal/ Executive Assistant experience
- Excellent organisational skills and is enthusiastic about creating a positive office atmosphere
- Strong communication and interpersonal skills
- Self-motivated and excels in managing multiple priorities independently to effectively ensure the smooth day-to-day operations of the office
- Proficiency in Microsoft Software, Navan and Workday is a plus
- Skills and experience in working in a multi-cultural global business context
- A great attention to detail and strong written and numerical skills
- Ability to work to tight timescales and achieve strong outcomes even when under pressure
- Curiosity in AI
