Job Description
Our client in the Non-Profit space is hiring an Executive Administrator to join their team in Kanata, Ontario. As the Executive Administrator you will provide senior administrative support to the Executive Director, the Board of Directors, the Senior Leadership Team, and the People Services Manager.
This role is essential in managing confidential information and ensuring efficient operations within the organization. This position presents an exceptional opportunity for individuals seeking to advance their careers as an Executive Assistant.
This is a hybrid temporary-to-permanent position, requiring four days of on-site, with the ability to work remotely one day per week.
Responsibilities:
Provide senior-level administrative assistance, including calendar management and meeting preparation.
Compose and edit written materials; handle clerical tasks such as filtering mail, maintaining filing systems, and preparing meeting materials.
Obtain briefing materials for meetings and ensure deadlines are met.
Manage all administrative tasks for the Board, including maintaining the DirectorPoint.com Board management software.
Coordinate monthly Board and committee meetings, including agenda preparation and logistics.
Record minutes during meetings and distribute finalized documents.
Provide additional support to the Senior Leadership Team as requested.
Qualifications:
Advanced administration or Executive Assistant experience required.
Post-secondary education in Office Administration or related field; equivalent experience considered.
Experience in a not-for-profit or community-based health/social service agency preferred.
Proven ability to establish administrative systems.
Fluency in French (spoken and written) is an asset.
Proficient in Microsoft Office Suite and comfortable with new technologies.
Strong interpersonal, problem-solving, and organizational skills.
Ability to multitask and prioritize under tight deadlines.
Excellent written and verbal communication skills in English and French, including editing and proofreading capabilities.
Flexible availability for monthly Board and committee meetings.
