This is a fully remote position, with an ideal base location in Kentucky, Indiana, Ohio and the surrounding areas.
What the Role Is
The Customer Service Inventory Coordinator is responsible for all activities related to order administration and fulfillment for Heaven Hill’s Control State divisions. Additionally, this position will be responsible to manage forecasting and replenishment of assigned Control State inventories. This includes scheduling inbound and outbound activities and interacting with customers to provide information in response to orders, inquiries about products, and to handle and resolve customer complaints. This individual will work productively with customers, carriers, vendors, and other internal departments with little supervision to ensure customer satisfaction.
How You Will Spend Your Time?
- Obtain all pertinent customer information required for acceptance of an order (names, addresses, billing information, product numbers, and specifications of items to be purchased, etc.) Maintain an up-to-date customer email address book.
- Forecast inventory level demand based on historical data, seasonal planning, and other relevant sales inputs using IFS and other forecasting tools such as Microsoft Excel, etc.
- Creation of bailment replenishment orders
- Check inventory records to determine availability of requested merchandise
- Coordination of inventory issues with Heaven Hill Sales, Control State Brokers, and various Control State employees
- Knowledge of various Control State rules and regulations surrounding vendor owned inventory. Knowledge of applicable penalties (risk exposures) and how they are calculated. Minimize potential exposure to out of stock/excess stock penalties
- Inform customers by telephone or email of order information, shipping dates, and any anticipated delays
- Receive and respond to customer complaints
- Work directly with Shipping Department to ensure orders are shipped correctly and timely
- Maintain customer cross reference
- Create picking list and contact customer/carrier
- Communicate with customers on shipping requirements
- Contact carrier representatives to make arrangements or issue instructions for shipping and delivery
- Resolve problems concerning transportation, logistics systems, imports or exports, or customer issues
- Collaborate with other departments to integrate logistics with business systems or processes, such as customer sales, order management, accounting, or shipping
- Maintain metrics, reports, process documentation, customer service logs, or training records
- Projects will include cross-functional/interdepartmental teams
- Ensure a safe working environment for all employees through the commitment to company safety policies and procedures
Who You Are…
- Minimum three (3) years of customer service and distribution experience in a manufacturing environment
- Must possess in-depth knowledge and experience using Microsoft Office tools and products including Excel, Word, PowerPoint, and Access
- Advanced knowledge of ERP and EDI systems
- Excellent critical thinking and analytical skills
- Ability to gather information and utilize the information to make decisions and resolve problems
- Knowledge of principles and methods for moving consumer goods, including the relative costs and benefits
- Knowledge of business and management principles involved in production methods and coordination of people and resources
- Knowledge of raw materials, production processes, quality control, costs, and other techniques for maximizing the effective manufacture and distribution of goods
- Ability to think ahead with strong attention to detail and accuracy
- Establish and maintain interpersonal relationships
- Provide excellent customer service
- Ability to handle multiple tasks with competing deadlines
- Excellent verbal and written communication skills
- Must be a highly motivated and self-directed individual
Valued but not Required Skills and Experience:
- Experience in Inventory Control/Management
- Experience in a distilled spirits industry

While performing duties of job, employee is occasionally required to stand; walk; use hands and fingers to handle, or feel objects, and use of computer; reach with hands and arms. Employee must occasionally lift and/or move up to 10 pounds.
