Work Schedule: Monday – Friday with flexible working hours between 7:30a – 6:30p
Position Summary
The Plan Transfers Specialist provides administrative support to Clients as they transfer 401(k) plan service from a previous third-party administrator (TPA) to a new 401(k) provider. Primarily managing the distribution process for legal merger documents, due diligence review of prior plan documents, gathering and reviewing data on plan specifications, and notifying internal departments of plan mergers.
Essential Functions
· Draft and email legal merger documents to Clients, including a Board Resolution to merge plans, Merger Agreement, Letter of Instructions to Vendors, and plan enrollment forms.
· Manage the distribution of Department of Labor obligated 30-day Blackout Notices for all 401(k) participants transferring into Company administration.
· Provide notice to the Professional Employer Organization (PEO) regarding the receipt of a transfer request from the Client.
· Code plans in Relius with blackout information and notify affected internal departments via email.
· Manage assigned transfer-in and transfer-out caseload via SIMIS and Salesforce updating and notating, as needed.
· Respond to calls/emails received from the new or prior TPA provider for matters pertaining to plan administration.
· Communicate via email or phone with clients (internal and external) regarding the transfer-in and transfer-out process.
· Coordinate the receipt of a Client’s prior 401(k) plan documents via email or fax from the Client’s prior third-party administrator (TPA).
· Perform due diligence review of the prior Adoption Agreement, Summary Plan Description, Basic Plan Document, and Compliance Testing results to ensure IRS compliance standards are met.
· Gather data on names, source types, and fund amounts for a final accounting file received by the Client’s new TPA provider.
Skills & Abilities
· Strong communication skills, both written and verbal.
· Demonstrated knowledge of Microsoft Office (Word, Excel, and Outlook).
· Acute attention to detail.
· Diligent follow-thru on core processes.
· Ability to efficiently organize and prioritize tasks in a fast-paced environment.
Experience
· 1-2 years of financial services, administrative, and/or paralegal experience or similar role.
· 401(k) industry experience highly preferred, but not required.
· CRM experience, preferably Salesforce.
· Microsoft excel experience preferred, but not required.
Education
· Currently working toward or a recent graduate of a bachelor’s degree program.
· Or equivalent combination of education and experience.
Certificates & Licenses
· ASPPA Retirement Plan Fundamentals (RPF) I within 6 months of hire

· Extended sitting and computer work.

This role will have a base pay range of $22.00-24.50 per hour. Please know, this is the base range only and does not consider other components that make up the total rewards package for this role. This position is also eligible for an annual performance bonus.
