Job Description:
Under general supervision, responsible for coordinating health information requests from patients/families, payers, financial services, social services and other medical and legal entities. Responsible for maintaining up to date knowledge of all State/Federal laws along with Children's Hospital Boston policies and procedures pertaining to the release of Protected Health Information PHI.
The Health Information Coordinator II will be responsible for :
Communicating and interacting with customers who request Protected Health Information (PHI) documentation, ensuring requests are being responded to appropriately and timely.
Providing instruction to requestors as needed, related to procedures for obtaining medical record information and patient consent requirements.
Coordinating the routine disclosure of PHI from Children's Hospital to patients, families, insurance companies, attorneys, and handling non-routine disclosures of PHI in response to court orders, subpoenas, and other requests from legal entities.
Ensuring all disclosures are being completed in accordance with federal and state statutes, hospital policies, and that all documentation is obtained and submitted per departmental policies/procedures.
Processing cases daily in the electronic work queue, populated by Patient Financial Services, for accounts requiring medical record documentation for reimbursement.
Managing the setup for new or returning auditors for on-site reviews of medical record documentation, utilizing the Hospital electronic health record and electronically linking dates of service to the appropriate accounts for auditor review.
Providing instructions for auditors in using PowerChart and assisting auditors during the audit process to locate information they cannot find.
Interacting with vendors, outside agencies (such as Child Protection Services), and courts to obtain information associated with the release of PHI, coordinating information needed, and resolving problems.
Actively working with Hospital staff outside the Health Information Management Department, including communicating with the staff attorney for problem resolution.
Collaborating with nursing staff to support and assist with records released directly from patient care areas; completing medical examiner requests; working with information services to resolve system problems; and assisting all other Departments as needed with the release of PHI information.
To qualify you must have:
High School GED is required
2 years' experience in hospital Health Information Management department or outpatient clinic operation with Release of Information experience preferred, with emphasis on customer support service or Administrative clerical support experience.
Knowledge of Joint Commission accreditation standards and medical record documentation requirements. Analytical skills to resolve complex problems requiring the use of scientific, mathematical, or technical principles and in depth, experienced based cross functional knowledge. Communication skills in order to effectively deal with conflicting views or issues and mediate fair solutions, or well developed writing skills.
