Job Description: Project Coordinator – E-commerce Website Platforms

Position: Project Coordinator
Reports To: Director of Technology & Operations
Location: Remote
Working Hours: 9:00 AM - 6:00 PM Central Time (with occasional flexibility for early or late calls due to international team collaboration)

Overview:

We are seeking a Project Coordinator to oversee and coordinate various projects for our e-commerce website platforms. The successful candidate will work closely with the Director of Technology & Operations and will manage relationships with third-party programmers and support teams. As a Project Coordinator, you will play a pivotal role in maintaining the project pipeline, ensuring tasks are completed on time, and managing cross-functional teams to meet deadlines. Key Responsibilities:

Project Management & Coordination:
- Collaborate with internal teams and third-party vendors (including international programmers and support teams) to ensure timely delivery of projects and tasks.
- Develop, manage, and maintain project schedules, including tasks, milestones, and deadlines, ensuring alignment with the company's objectives.
- Coordinate and schedule regular meetings with cross-functional teams, ensuring all stakeholders are informed and aligned.
- Track progress, identify potential roadblocks, and work with the team to resolve issues in a timely manner.
- Create and distribute meeting minutes, documenting action items and follow-ups.
Communication & Stakeholder Management:
- Participate in joint calls with the Director of Technology & Operations and provide detailed notes and updates from meetings.
- Facilitate communication between internal teams and external parties (including vendors and third-party programmers).
- Develop strong relationships with stakeholders, ensuring smooth coordination and execution of tasks.
Creative Problem Solving & Flexibility:
- Address and resolve project-related challenges with a creative and solution-oriented approach.
- Demonstrate flexibility in managing unforeseen issues, working across time zones, and ensuring continuous progress on projects.
Support & Process Improvement:
- Provide support to the Director and other team members by managing day-to-day project details, tracking progress, and ensuring deadlines are met.
- Contribute to the improvement of processes, suggesting enhancements for better project flow and efficiency.

Qualifications:

Experience:
- 2+ years of experience in project coordination, project management, or a related field (preferably in an e-commerce or technology environment).
- Experience coordinating with third-party teams, especially developers or support teams, is a plus.
Skills & Competencies:
- Strong organizational skills and attention to detail.
- Excellent communication skills (both written and verbal), with the ability to clearly articulate ideas and updates.
- Proficient with project management tools (e.g., Asana, Trello, Jira, or similar) and Microsoft Office (Excel, Word, PowerPoint).
- Familiarity with e-commerce platforms (BigCommerce, Shopify, Magento, WooCommerce, etc.) is a plus.
- Strong problem-solving skills and ability to think on your feet.
- Ability to work independently with minimal supervision and adapt to changing priorities.
- Excellent emotional intelligence (EQ) and interpersonal skills to effectively manage relationships with internal teams and external vendors.

- Ability to work remotely and collaborate with international teams.
- Flexibility in work hours, with occasional early or late calls to accommodate different time zones (especially Asia).
