POSITION SUMMARY
The Administrative Assistant provides direct support to the Executive Assistant in maintaining the Executive’s schedule, coordinating internal communications, and managing logistical and travel arrangements for domestic and international trips. This role involves general administrative responsibilities to support operational needs. To excel in this role, candidates should be proactive, organized, and capable of managing multiple priorities in a collaborative and evolving work environment. Effective communication and collaboration with internal teams is integral to delivering timely, high-quality success.
Primary Responsibilities:
Administrative Support:
- Triage and prioritize incoming correspondence and meeting requests.
- Arrange meeting logistics, including room reservations and catering.
- Manage and record Executive’s timesheet
- Reconcile receipts and complete expense reports.
- Provide support for both business and personal obligations of the Executive.
· Travel Support:
- Research and book travel arrangements, including complex and remote destinations.
- Prepare detailed travel itineraries and necessary documentation.
- Maintain and organize travel records and archives.
· Additional Support:
- Coordinate lunch orders, pick-ups, and other time-sensitive errands.
- Assist in event planning and coordination.
Must-haves
- Associate degree or equivalent professional experience.
- Minimum 2 years of experience in an administrative or support role
- Proficiency in Microsoft Suite (especially Word and PowerPoint)
- Experience or interest in researching and booking travel.
- Exceptional organizational, time management, analytical, and problem-solving skills.
- Ability to manage, delegate and prioritize tasks.
- Excellent communication skills.

At the time of posting this job, the hiring range for this position in Seattle is between $28.84 and $33.65 per hour. Final salary decisions are made based upon the extent and relatedness of the candidate’s education and experience and considering internal equity and external market factors.
