Position: Post-Closing Intake Specialist
Position Location: Remote, Work from Home
The Post Closing Intake Specialist monitors the funded pipeline for the company with the intent to communicate internally and externally suspended loan deficiencies to the various post-closing teams. Ensures suspense items are communicated and assigned timely and all correspondence to the team inbox is answered timely and accurately.
What will you do:
- Directs the assignments for all internal and external suspense items across multiple lines of business. Will assign based on suspense source, type, and loan phase.
- Communication of conditions received via multiple sources including but not limited to, email, reporting, and manual retrieval from investor websites and portals. Internal and external.
- Monitors Intake shared mailbox, responsible for receiving all incoming post-closing related inquiries, notifications, and communications, providing a fast, accurate, and knowledgeable response. Will understand how to direct and escalate email traffic to multiple groups across the company based on the nature of the request.
- Monitors the funded pipeline for delivered loans to investors but not suspended. Follows up with external partners (HFAs, servicers, investors, etc) to obtain updated review status and condition reports.
- Provides reports as necessary to leadership and the network: investor review turn times, weekly pipeline reports, monthly purchase reports, and suspense reports.
- Updates System of Record (Encompass and Purchase Clearing UI) with appropriate notes and dates.
- Attend and participate in regular team meetings, training, and discussions.
- Provides a top-tier level of customer service, responding via telephone, email, and instant message.
- Special projects or research items as assigned.
What we are looking for:
- 1+ years of related experience.
- Basic knowledge and understanding of customer service and intrapersonal best practices.
- Basic knowledge and understanding of developing specific and realistic goals and plans to prioritize, organize, track and accomplish work.
- Basic knowledge and understanding of Excel (pivot tables, v lookups)
- Demonstrated experience working in a fast paced and changing environment.
- Demonstrated experience analyzing and interpreting data.
- Demonstrated experience effectively managing relationships with internal and external partners.
