What’s a typical day as an Office Coordinator? You’ll be:
• Maintaining office operations and procedures.
• Assisting with payroll processing.
• Processing correspondence and filing.
• Reviewing and processing supply requisitions including invoices.
• Keeping management informed by initiating data collection reports.
• Providing information and answering questions from employees and management.
• Contributing to team effort by accomplishing related results.
• Communicating regularly with plant employees, plant management, and the Corporate Office.
• Performing accounts payable function including account coding and processing invoices for payment.
• Ensuring operation of office equipment by completing preventative maintenance requirements.
• Corresponding with vendors and maintaining vendor files.
• Reconciling vendor statements to ensure all invoices have been paid.
• Preparing materials such as presentations, reports, and new hire packets.
• Supporting and coordinating employee orientation schedules.
• Ensuring all employee paperwork is completed correctly.
• Calculating and coding time cards and entering them into the payroll system.
• Accurately processing and maintaining a weekly payroll for manufacturing employees and bi-weekly payroll for office and management employees.
• Sorting and distributing mail and faxes for the department.
• Insuring fair, equitable, and respectful treatment of all employees.
• Performing other duties as assigned by Supervisor or Manager.
This job might be an outstanding fit if you:
• Have a High School General Education Diploma or equivalent. Some college strongly preferred.
• Have a minimum of 2 years of general office experience in an administrative role that includes various HR and Clerical and Accounting functions (A/R, A/P, payroll, etc.).
• Have the ability and willingness to work a flexible Full-Time schedule that may include weekends and holidays. Typical shift is M-F 8:30am - 5:00pm.
• Have excellent communication skills and telephone etiquette. Fluent in oral and written communication in English.
• Have strong computer skills, including Microsoft business applications and various reporting software.
• Have exceptional interpersonal communication skills.
• Are 18 years or older.
• Can pass a physical and drug test.
• Can provide own transportation to various locations in organizational service areas, as required by duties.
