Job Summary: We are seeking a highly organized and detail-oriented Real Estate Admin Assistant to join our property management team. The successful candidate will work directly with the property owner, supporting the daily operations of multiple properties. The role involves maintaining spreadsheets, communicating with tenants, preparing lease documents, coordinating repairs, and working with AppFolio and OneDrive for data management. This position also requires close collaboration with the accounting department for entering payables.
Key Responsibilities:
- Property Management Support:
- Create and update spreadsheets with property notes and information.
- Assist with tenant communication, including lease renewals, coordinating repairs and maintenance, and rent collection.
- Prepare and finalize lease agreements and documentation.
- Manage tenant move-ins and move-outs, ensuring all paperwork and procedures are completed accurately.
- CRM & Document Management:
- Update and maintain property data on AppFolio CRM, ensuring all tenant and property information is current and accurate.
- Utilize OneDrive for organizing and storing documents and files related to property management.
- Accounting & Payables:
- Enter payables into the system and collaborate with the accounting department to ensure accurate record-keeping within AppFolio.
Preferred Qualifications:
- Previous experience working directly with property owners.
- Familiarity with general property management procedures such as tenant move-ins, move-outs, and handling lease renewals.
- Strong proficiency in Microsoft Office Suite, especially Excel for managing spreadsheets.
Work Schedule: This is a remote position. You must be able to communicate effectively with tenants and the property owner in a timely manner.
Requirements:
- Proven experience in property management or real estate administration.
- Proficiency in AppFolio and OneDrive is required.
- Strong organizational skills with attention to detail and the ability to multitask.
- Excellent communication skills, both written and verbal.
- Ability to work independently and efficiently while coordinating with multiple stakeholders.
- Experience in lease preparation and tenant communication.
- Familiarity with basic accounting processes and entering payables.
