HR SpecialistThe HR Specialist will perform the following duties:
- To process incoming information and documentation on electronic and paper media;
- To prepare reports and documents on paper and / or electronic media if necessary;
- To perform inspections in case of indication of discrepancy in electronic data and / or information and documentation on paper or electronic media;
- To enter information in the software product for personnel administration
- To display information and data from the software product for personnel administration and prepare reports if necessary;
- Support the life cycle of an employee through onboarding to offboarding.
- Input and processing of information and data;
- Describing, arranging and archiving information on electronic and paper media;
- Tracking for discrepancies in internal information and documentation on electronic and paper media;
- Preparation of inquiries and reports in relation with the performed activity and / or the activity of the structural unit.
In this role you will:
- Receives, distributes and maintains information and documentation received in the structural unit;
- Monitors the timely submission of documents and information from the structural units in the organization.
- Enters data into the system software
- Prepares official inquiries, reports and other internal documents for the needs of the employees and representatives of the structural units in the organization.
- Regularly reviews archived employee files and monitors for correct documentation.
- Provides assistance to employees in the organization where they need to prepare documents, notes, copies of documents already received etc.
- Processes the documentation of new employees and ensures order and in relation to internal and external regulatory requirements.
- Processes and transmits information and documentation for terminating employees, following the internally established rules and principles of work.
- Performs current work processing information and documentation for new hires and terminated employees.
- Partners with other employees of the structural unit
- Performs the set tasks according to the requirements and established criteria for term and quality of execution.
- Adheres to the established internal standards for analysis and processing of information, participates in organized internal, external events, aiming to update and enrich the knowledge and skills of the employees.
- Coordinates actions with direct and indirect manager and performs the set tasks according to the set instructions and term.
- Provides information about the result of the implementation of the set tasks and is obliged to inform in due time in case of difficulty or mistake during the performance of the set tasks.
- Purposefully strives to improve performance by receiving recommendations for improvement in the monthly provision of feedback on the performance and annual evaluation of the performance.
- Responsible for the strict adherence and application of the established procedures and instructions for data processing set by clients and end users of the organization.
- Observes a high level of confidentiality
- Obliged to take care of own health and safety, as well as health and safety of the ones directly affected by his/her activity, in accordance with his/her qualification and the instructions given by the employer.
- Strictly observes the working hours, the Regulations for the internal labor order and all internal orders and instructions.
- Responsible for the quality and timely performance of any other tasks assigned by the direct or indirect manager, which are related to the work process and for which he/she has the necessary knowledge, skills and qualifications
- Processes and archives documentation, related to attendance and absences of employees - paid, unpaid leave and sick leave, and enters the information in the software product for personnel administration and archived files of employees.
- Informs the employees in the organization about changes in the administrative regulation at the state level, sending official written correspondence after preliminary coordination with the direct or indirect manager.
- Tracks for missing and incorrectly filled information in the provided documentation and in due time requests correctly filled in documents and files from the employees
We are looking for someone who has:Requirements for holding the position:
- Work with MS Office, outlook.
- Previous professional experience: 1 to 2 years’ experience in a data process role but not essential
- Previous professional experience in extraction and analysis of information and data;
- Speak Bulgarian and English (B2)
- Skills, personal qualities and competencies:
- Business orientation and ability to understand and analyse the processes taking place in the organisation;
- Ability to adapt internal processes and documentation concerning the quality of the service provided according to the legally established framework and requirements;
- Ability to work and perform their duties with minimal supervision by a direct manager;
- Positive and friendly attitude to the work process and employees in the organization;
