Job Summary
This position administratively supports the Field Operations team consisting of a Regional Director of Operations and a group of Franchise Business Consultants, providing business consultation to Franchise owners. This position may also provide occasional support to Field Operations Canada, Field Operating Systems, and Operations Support divisions.
You will
- Actively and consistently support all efforts to simplify and enhance the Franchise experience.
- Constant telephone and computer use during business hours.
- Provide customer service to both internal (corporate staff) and external (franchises, franchise employees) customers.
- Ensure that all administrative needs of the Field Operations Division are addressed. Needs include, but are not limited to the following:
- Ensure all correspondence is handled in a timely manner.
- Assist in the preparation for on-site and off-site meetings. Record meetings and transcribe minutes, as requested.
- Prepare franchise performance reports as requested and provide results to Franchise Business Consultants for follow-up.
- Ensure accurate and timely delivery of incoming and outgoing mail and packages.
- Communicate franchise dispatch statuses (suspension and reinstatements) to the Field Operations team.
- Monitor regional calendars to ensure accuracy.
- Monitor and Maintain Department Systems and Resources. Ensure franchise facing communication (i.e. ServproNET) is accurate and updated timely.
- Support the annual “APA” validation/verification process by confirming all information is entered into the SERVPRO APA system. Communicate any compliance issues with the Regional Director of Operations.
- Assist the Customer Care Center during high call volume.
You have
- Ability to read, write, and speak the English language to communicate with employees, customers, suppliers, in person, on the phone, and by written communications in a clear, straightforward, and professional manner.
- Proficiency in Microsoft Office, with advanced proficiency in Word, Excel, and PowerPoint.
- Excellent written and oral communication skills.
- Administrative/Organization skills including calendar management and scheduling, filing maintenance and organization, telephone business acumen, and travel planning and coordination.
- Proficiency in writing letters, reports, memos, e-mails, and proposals.
- High School Diploma or GED required.
