Procurement and Billing Coordinator
Full time procurement and billing coordinator position is responsible for ordering materials and supplies needed to install orders per customer’s specifications and serve as liaison between credit and production scheduling at the factory, modifying sales orders as directed by the branch, billing jobs and liaison with company invoicing team. Participate in daily and weekly operational calls.
What You Will Do:
- Provide support for branches and corporate entities by handling inward facing responsibilities freeing them to focus externally, primarily involving but not limited to:
- Order all necessary material for the installation, service, and corporate programs in the appropriate time frame.
- Issue the STO or PO for the material needed for installation, service, and various corporate entities.
- Work with the factory with on any Class I or Class II material related issues.
- Communicate any material related issues to the salesperson and Installation Coordinator/Service Dispatch Supervisor and work with them to clarify material requirements as needed. Work with the various programs/departments to ensure material and services are procured as needed.
- Verify that job is completed per company policy/Sarbanes Oxley.
- Review inventory used & confirm with branch any changes necessary on the Sales Order in SAP.
- Enter the Door ID’s into SAP with warranty and door location information.
- When notified by branch job is complete (ready to bill) bill the job in SAP attaching all necessary paperwork (JCS/photos) in the appropriate time frame.
- Work collaboratively to resolve problems with corporate partners, branch, finance, and or billing.
- Travel up to 10%
What You Need to Succeed:
- High School Diploma or Equivalent education required
- 1+ year of coordinating experience in a construction or industrial environment.
- Undergraduate degree preferred or equivalent coordinator experience in a construction or industrial environment
- Ability to work in a fast paced environment
- Strong business acumen
- Excellent computer and communication skills, SAP Experience Preferred:
- Excellent interpersonal skills
- Detail Oriented
- Excellent Multi-tasking ability
- Flexible work schedule is a must with the ability to work nights and/or weekends as necessary.
- Able to work effectively in remote settingÂ
