Executive Administrative Assistant
We're hiring an Executive Administrative Assistant (EA). In this role, you will provide direct support to the SVP, Executive Director of Land O’Lakes Venture 37, and provide support across the C-Suite as a shared resource. As an EA you’ll work to proactively manage and prioritize the ever-changing flow of the executive office by performing a diverse range of ... complex, confidential and time-sensitive duties.
Essential Duties:
• Provides sophisticated calendar management that maintains the executive’s schedule, including day-to-day management and long-term management of meetings, projects, and priorities
• Provides central support & coordination across the C-suite for compliance tracking, invoice management, expenses, catering, office-supply management & work-orders.
• Arranges complex domestic and international travel coordinating pre-departure through arrival details
• Coordinates events ranging from small to complex in person, virtual, and hybrid events, understands meeting technology and has the technical savvy to support events
• Coordinates preparation of meeting briefings including agenda, meeting materials, key talking points, and research as requested
• Collaborates across the EA team and acts as backup support as needed
• Is willing to be pulled into projects outside the immediate job description, where administrative support is needed
• Meet business deadlines which may require occasional working after business hours and/or weekends

• Professional verbal and written communication
• Possess composure under pressure and demonstrate good decision-making skills
• Flexibility in changing work priorities at a moment’s notice
• Strong planning and organizational skills
• Driven to deliver work with the highest degree of accuracy
• Proactively identifies problems and works to resolve them before they escalate
• Advanced proficiency in Microsoft Suite of products (Outlook, Word, PowerPoint, Teams, Publisher etc.)
• Ability to maintain confidentiality
Experience required:
• High School diploma/GED or higher
• 7 or more years of administrative support; including at a VP/C-suite level
• Proficient in planning and booking international travel arrangements, including but not limited to visa management and in-country coordination of ground travel and accommodations
Preferred Experience and Education:
• Experience operating in a high-profile executive assistant position that interacts with all levels of management including senior executives
• Experience interacting with Board members
• Post-secondary education strongly desired
