Department Overview
The Administration Department is responsible for these key activities: representation of administration on the St. Paul and Minneapolis Campuses, policy and procedure clearinghouse, business development, child advocacy and child policy, and community health and preventive medicine.
Position Summary
• Providing calendar management, meeting scheduling and meeting support to senior leaders (including agenda development, gathering and disseminating materials, meeting room reservations, setting up technology, ordering catering).
• Making travel arrangements
• Answering the Executive Offices main phone line
• Greeting and managing all visitors to the Executive Offices, and conference rooms
• Coordinating facilities, and housekeeping requests
• Ordering office supplies
• Distributing mail, setting up courier and Fed Ex services
The ideal candidate has a positive outlook, is a strong communicator, and is great with follow through. In this highly visible role, you will collaborate with Executive and Administrative teams to support the Executive Offices.
• Good judgment and organizational ability to prioritize and organize workload to meet daily demands, as well as respond to urgent situations.
• Experience with complex scheduling using Outlook.
• Excellent written and oral communications skills.
• The ability to analyze documents for accuracy.
• Competence in use of Microsoft Office applications (Word, Excel, Power Point, Outlook, Teams) required.
• Competence in web-based technology and applications preferred – Microsoft Office 365.
• Knowledge of administrative and clerical procedures and system including managing both electronic and paper files and records.
• Ability to maintain the highest level of confidentiality.
• Ability to represent the organization in a professional manner in all communications with staff, Board members, vendors, and patient families.
• Demonstrates the ability to learn quickly and adapt to changing situations and priorities.
• Maintains effective communications and positive working relationships with organization staff at all levels.
Education:
• High school degree or GED, required
Experience:
• Five years experience in a general office setting OR three-years experience with completion of specialized training/certification in the administrative professional field, required
• Experience in healthcare/hospital setting, preferred
Knowledge/Skills/Abilities:
• Proficient and demonstrated competency in MS Office Suite applications
• Strong verbal and written interpersonal, communication and organizational skills
• Ability to work within a team and as an individual contributor in a fast paced, evolving work environment
• Ability to work with highly confidential information in a professional manner
• Ability to work under pressure and meet tight deadlines
