The Executive Administrative Assistant will provide confidential and proactive partnership to the EVP, Chief Marketing Officer at the Framingham Home Office, to enhance the EVP’s effectiveness and meet the needs of a global, complex TJX Marketing organization.
The ideal candidate will have the ability to provide advanced support and operate independently to ensure successful administration of the TJX Marketing systems, polices, procedures, and practices. They will consistently demonstrate tact, diplomacy, and critical thinking as they engage with a variety of Associates and customers both internally and externally.
This position is part of a hybrid work environment and requires days in the office that align with the Executive. Typically, this is 2 days per week.
Who We Are Looking For: You.
• Build effective working relationships throughout the organization with senior management and key business partners (both internally and externally)
• Consistently represent the EVP in a professional manner
• Act as ambassador for the TJX Marketing function
• Operate independently to provide the appropriate information management and administrative support to meet the needs and priorities of the global TJX business
• Monitor the EVP email “traffic” and alert the EVP to business critical
• Flag forthcoming deadlines and track EVP deliverables/priorities
• Triage complex queries and requests for information from the global executive team and internal/external business partners, and escalate to EVP as appropriate
• Act as proxy in EVP’s absence to route time sensitive items to Marketing leadership team where appropriate
• Analyze operating practices and create/revise systems and procedures as necessary
• Provide general administrative service to the EVP, including the day-to-day management of the EVP’s office
• Filter telephone calls and standard queries
• Manage filing, documentation creation and correspondence to ensure efficiency and confidentiality at all times
• Prepare materials and agendas for meetings
• Carry out background research, briefing papers, reports and presentations
• Maintain strategic focus and rigor while managing a very reactive and cross-geographical diary; offer pro-active global planning support, anticipating needs and seeking and coordinating information where appropriate
• Provide full diary support, coordinating meetings with internal and external global contacts, and keep EVP up to date on all appointments
• Arrange ad hoc off-site meetings and make all necessary arrangements including venue/room booking, catering, technological and hospitality
• Plan and manage all end-to-end requirements and itineraries for domestic and international travel
• Proactively provide financial administrative support for the EVP
• Manage departmental budget and timekeeping
• Track expenses directly related to the EVP
• Raise purchase orders in Oracle as required
