Job Description:
The Administrative Assistant II reports to the Executive Director and collaborates with other HR team members, including the Director of Compensation and Benefits, Assistant Director of Talent Management, Senior Human Resources Associate, and Personnel Analysts. In this role, the Administrative Assistant will handle general office duties, manage incoming and outgoing HR-related contacts (both in person and virtual), address email and telephone inquiries, maintain personnel and other related records, and engage with students, faculty, and staff.
Responsibilities:
• Organizes and prepares personnel files, for on-campus filing.
• Organizes and schedules interviews for various positions throughout the college, which may include assisting applicants both in person and virtually with troubleshooting and providing guidance on the process.
• Prepares contract and offer letters for distribution.
• Provides support as a backup for other team members.
Job Requirements:
• Applicants must have at least (A) three years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, or (B) any equivalent combination of the required experience and the substitutions. (Substitutions: An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for a maximum of two years of the required experience.*)
• Thorough knowledge of office systems with the ability to use a range of technology, systems, and software packages (i.e., Microsoft Office - Word, Power Point, Excel, Access)
• Ability to independently handle multiple work projects.
• Ability to effectively handle a broad range of interpersonal contacts including those at a higher level and those sensitive in nature (interpersonal and customer-service skills)
• Attention to detail.
• Ability to work with a diverse faculty, staff, and student population.
• Education toward such a degree will be prorated based on the proportion of the requirements completed.
Preferred Skills/Requirements:
• Familiar with processing I9s for onboarding
• Familiar with Colleague-Ellucian
• Familiar with Interview Exchange or Applicant Tracking Systems
• Experience working at a community college or other institution of higher education.
Additional Information:
Salary: $2,200.91 Biweekly | $57,223.66 Annually - (AFSCME - Grade 17, Step 1)
Other: A flexible teleworking schedule is available and will be determined at the time of hiring.
