Job Overview & Responsibilities
An Executive Administrative Assistant is needed to support the Vice President, Kuiper Program, and Vice President, Engineering. This position is co-located with the executive management team and will routinely interact with senior-level executives, external customers, and vendors. We seek mission-oriented candidates who possess initiative, good judgment, and discretion for every task and the ability to handle multiple priorities simultaneously.
• Provide support to the Engineering team to include new employee onboarding and document processing, assisting with staffing analysis metrics for C-Suite reviews, and organizing the newly formed training program scheduling and certification attendance records.
• Support the Kuiper Program Office with management of both internal and external programmatic reviews occurring at local locations as well as customer sites.
• Provide project coordination support as directed, to include data collection and management, assisting with project development for various departments, and utilization of tools, such as PowerPoint and Excel, to support material development.
• Assist other departments with cross-enterprise projects, to include supporting the Human Resources team with coordination of enterprise personnel awards.
• Manage complex scheduling and maintain executive calendars, to include maximizing executives' time by anticipating and reconciling schedule conflicts.
• Organize regular cadence of business reviews at the executive level and manage meeting materials.
• Make travel arrangements and logistics to include flights, car rental, and hotel for domestic and international travel.
• Coordinate on and offsite meetings, including meeting notices, meeting rooms, visitor forms/badging, required catering, parking spaces, etc.
• Prepare and reconcile expense reports.
• Prepare Federal Express packages, faxing, scanning, and sorting mail.
• Excellent knowledge of Microsoft Office including: Outlook, PowerPoint, Teams, and Microsoft Word.
• Manage corporate files and record retention needs.
• Provide administrative support as directed.
• Assist with special projects as needed.
Required Education High School/GED
Required Years of Experience Minimum of 6 years of related work experience
Basic Qualifications Previous experience supporting senior-level executive(s), experience with project coordination, must be flexible, positive, proactive, and detail-oriented, proven ability to maintain customer and corporate confidentiality, experience managing multiple priorities, prioritizing, and meeting deadlines, must have Microsoft Office experience and be proficient with Word, Excel, PowerPoint, and Outlook, ability to work in office a minimum of 4 days a week at ULA's Centennial location.
Preferred Qualifications Exposure to working in the Aerospace Industry, proven experience supporting C-Suite Executives, experience setting up and preparing Teams/WebEx/video conferencing for meetings.
