Job Summary:
The Administrative Assistant role entails providing comprehensive support to multiple Senior Leadership positions within the organization. Responsibilities include managing calendars, projects, and communication for leaders, preparing presentations and reports, overseeing data analysis and communication, coordinating with various departments, managing budgets and expenses, facilitating employee events and training programs, and handling payroll and travel arrangements. The position requires strong organizational, communication, and decision-making skills, and the ability to maintain confidentiality and prioritize tasks effectively. A high school diploma or equivalent is required, along with proficiency in Microsoft Office and strong emotional intelligence.

Job Responsibilities:
• The position will interact with staff (at all levels) in a fast-paced environment, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality.
• High degree of guest service skills serving both internal and external customers.
• Oversees multiple projects, calendars, schedules and facility bookings.
• Works with multiple Regional Directors and Senior Directors to manage calendars and communication of upcoming commitments and responsibilities.
• Prepare presentations and project report-outs for Senior Leadership and assist in setting up and delivering these presentations.
• May act as an analyst and communicator of data to various stakeholders throughout the organization.
• Organization, management and communication of guest service, employee relations, financial, safety, and inventory-management data
• Oversight of onboarding in accordance with all VR and VRR leadership expectations.
• Supports resort training programs, communication plans and management outreach.
• Manage various operational meetings, working closely with Regional Director and Sr. Leader agenda.
• Manages and processes invoices related to regional and centralized purchases for divisions.
• Responsible for helping prepare meeting agendas, permits, contracts and other reports or communications.
• Work with other resorts and VRR Administrative Assistants to ensure compliance and best practice.
• Will assist as needed with the tracking of operational and capital expenditures and project budgets.
• Creates and monitors expense budgets, in accordance with VR policy and procedure.
• Plays a key role in the contract approval process, including maintenance of records, schedules and communication with various departments such as Operations, Legal, Loss Prevention, Accounting and others.
• Prioritize and manage multiple assignments with fluctuating and time sensitive deadlines.
• Assist with planning and coordination of employee and leadership related events.
• Train and onboard new employees on VR process, policy and procedure.
• Assist as needed with coordination and fulfillment of Epic Promise activities which may include events, donations, community activism, environmental initiatives, among others.
• Manage payroll related reporting for store teams including hours reporting, overtime, scheduling/efficiency software, commissions and others as required.
• Travel planning and expense reconciliation for senior leaders as required.
• Strong decision-making ability and attention to detail.
• Assist as needed in preparation of permit applications for a wide variety of governmental and environmental agencies, including Regional Planning Agency, United States Forest Service, Fish and Wildlife, Aspen Ski Company, State of Colorado, Vermont, New York and New Hampshire.
• Must be able to maintain strict confidentiality on executive-level communication and exhibit strong judgement when handling sensitive information.
• Understanding of requirements of working for a publicly traded company.
• Additional duties as assigned by the Regional and Senior Directors
Qualifications:
• Proven experience as an Administrative Assistant or in a similar role.
• Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office software.
• Excellent organizational and time management skills with the ability to prioritize tasks.
• Strong communication skills, both written and verbal.
• Attention to detail and accuracy in completing tasks.
• Ability to maintain confidentiality and handle sensitive information with discretion.
• Proactive and self-motivated with a positive attitude.
• Ability to work effectively both independently and as part of a team.
• High school diploma; additional qualifications in Office Administration or related field is a plus.
The expected Total Compensation for this role is $22.00 - $29.00. Individual compensation decisions are based on a variety of factors.
