Objectives of this role
β Oversee the planning and execution of a wide variety of events
β Uphold the companyβs and clients standards with every event
β Own every aspect of the event planning process β from food and beverage
selections to timing, setup, and coordination with Operations teams
β Keep budgets and timelines under control at all times
β Comply with all company policies
β Adhere to the needs and wants of the client while maintaining a focus on
operational goals and profitability of events
Responsibilities
β Develop a complete understanding of the requirements of every event
β Conduct client site visits and pre-conference meetings
β Research vendors and make selections based on their creativity, quality, and
cost
β Draft and finalize contracts with budget goals in mind
β Assist in developing collateral materials for prospective clients
β Assist in communicating staffing needs to front of house management
β Be a day-to-day driving force in client relations
β Anticipate needs and opportunities for successful events and event planning in
conjunction with property management
β Work closely with the Operations team to create and ensure quality levels are
being met on a daily basis as well as enhancing overall banquet setups
β Handle day-to-day administration of events and programs, including order
placements, BEO reviews, vendor monitoring, travel planning, attendee
participation, registration counts, RSVP tracking, and issues resolution
β Report sales and lead conversion rates to leadership
Required skills and qualifications
β Financial acumen for budget expectations
β Experience in event planning or event coordination in a corporate environment
β Proven track record of creative, successful events
β Experience working with colleagues in graphic design, sales, marketing, and
communications
β Excellent organizational, communication, negotiating, and multitasking skills
β Ability to remain calm under pressure and maintain a customer-service mindset
β Ability to learn and utilize clientβs booking platforms and systems, adhering to
SOPs
