Objectives of this role
● Oversee the planning and execution of a wide variety of events
● Uphold the company’s and clients standards with every event
● Own every aspect of the event planning process – from food and beverage
selections to timing, setup, and coordination with Operations teams
● Keep budgets and timelines under control at all times
● Comply with all company policies
● Adhere to the needs and wants of the client while maintaining a focus on
operational goals and profitability of events
Responsibilities
● Develop a complete understanding of the requirements of every event
● Conduct client site visits and pre-conference meetings
● Research vendors and make selections based on their creativity, quality, and
cost
● Draft and finalize contracts with budget goals in mind
● Assist in developing collateral materials for prospective clients
● Assist in communicating staffing needs to front of house management
● Be a day-to-day driving force in client relations
● Anticipate needs and opportunities for successful events and event planning in
conjunction with property management
● Work closely with the Operations team to create and ensure quality levels are
being met on a daily basis as well as enhancing overall banquet setups
● Handle day-to-day administration of events and programs, including order
placements, BEO reviews, vendor monitoring, travel planning, attendee
participation, registration counts, RSVP tracking, and issues resolution
● Report sales and lead conversion rates to leadership
Required skills and qualifications
● Financial acumen for budget expectations
● Experience in event planning or event coordination in a corporate environment
● Proven track record of creative, successful events
● Experience working with colleagues in graphic design, sales, marketing, and
communications
● Excellent organizational, communication, negotiating, and multitasking skills
● Ability to remain calm under pressure and maintain a customer-service mindset
● Ability to learn and utilize client’s booking platforms and systems, adhering to
SOPs
