PRIMARY FUNCTION:
Provide administrative support to the staff of the Institute of Emerging Health Professions and its associated programs ... ESSENTIAL FUNCTIONS:
• Maintain the Director of IEHP's calendar and that of other IEHP leadership as needed.
• Provide customer service through the general IEHP email and telephone accounts.
• Maintain and update several IEHP databases and the collection of information, assist in transferring data into new database.
• Manage and maintain payment processing, create and process the requests for payment (RFP), getting contracts/agreements signed, W-9's, etc.
• Making miscellaneous travel arrangements and accommodations as needed.
• Schedule group meetings and planning events including arranging audio-visual, housekeeping, security and catering requests. Assist with set-up/break-down and staffing tables as needed.
• Distribute and send mail appropriately.
• Order supplies & materials, computers, telephones, etc. Maintain inventory for office and printer/copier supplies.
• Serve as point of contact liaison with IS&T, telecommunications, facilities, and other support offices.
• Making arrangements for new employees, submitting requests (campus keys, access to shared drive and internet, hardware, phone line set-up).
• Provide administrative support to start-up of new programs within the IEHP.
• Offer clerical support for program directors such as filing, copies, mailings.
• Follow up to ensure that tasks are being met (delegated tasks from meetings, etc.).
• Take minutes at IEHP leadership meetings and develop and track lists of action items and responsibilities between meetings.
• Assist with timekeeper responsibilities for IEHP staff and faculty.
• Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
• Other duties as assigned
Qualifications
EDUCATIONAL/TRAINING REQUIREMENTS:
Bachelor's degree preferred.
EXPERIENCE REQUIREMENTS:
1-3 years experience within an academic institution preferred
